Parks and Recreation Committee
June 18, 2018 * Meeting Approved Minutes
Meeting Time: Monday, June 18, 2018 from 5:30 – 7:00 PM
Place: Parks and Recreation Bldg. 26379 Fremont Road, Los Altos Hills, CA 94022
1.Call to Order/Roll Call (Quorum = 4)
a.Chairman: Ingrid Sperow; Vice Chair: Nina Sutaria; Secretary: Kathy Evans

c.Staff: Sarah Robustelli, Chris Knopf

Metcalfe, Jim Basiji, Craig Murray, Theresa Martin, Alisa Bredo, Nick French.
**Our Committee has 3 openings. Introduce committee candidates. Distribute application form. All
committee members are asked to bring prospective new members to each meeting.
2.Review of May 21, 2018 DRAFT Minutes – Approved unanimously
3.Public Comments (list members of public) Mr. Varun Kohli (interested in joining P&R)
4.P & R Budget request to Council – Sarah reported out that she has been working with Carl and the
Council to make a presentation on community needs and P&R budget priorities. There is a need for
facilities upgrades to the horse paddocks on the Town owned property at Westwind Community Barn.
Money has been set aside to complete this work beginning in July so that it will be completed in this
fiscal year. Sarah is also going to present to Council on our towns facility needs and the issue with
programming without facilities available to meet the growing demand. She asked that we convene a
special meeting in July to discuss this topic with the full P&R Committee (Normally we do not meet in
July) but the importance of this topic in light of the expected Town Hall upgrades is time sensitive and
the committee will need to vote.
5.Sub-Committee Reports:
a.Barn Update: Sarah reported that there would be facility upgrades this fiscal year. There is also
concern with the well, which has stopped flowing, and may have run dry. Craig Murray
recommended a well specialist and Sarah will follow up.
b.Garden Update / and Community Collaboration to increase Facilities: Kathy reported a discussion
with Hidden Villa about using some land with Purissima water for a community garden. She also
suggested additional follow up with Foothill College for the strip of land abutting the freeway near
the El Monte exit. Kathy also discussed bringing back the HV music and pairing it with educational
events at the Dana Center, like the Homesteaders Faire. There was also discussion of including info
on the annual parking passes in the Activity Guide. Kathy will continue to follow up with HV.
c.Sr. Programming: Sarah reported about the attendance for the stay safe programs – and invited
everyone to help advertise these and attend on July 10th 10-12:30. She will add more posts on Next
Door and try to get a Sr. opt in mailing list started to help link our Seniors with more programming if
they are not tech savvy.
d.Preschool Programming: Nina Sutaria reported that she attended the Annual Town Picnic and gave
all preschool parents her email and talked about preschool activities in town. No one has emailed.
She suggested casting a broader net to try to get more parents interested. Sarah will also try to
send out more Next Door notifications specifically to get people to sign up to receive info on
preschool and Sr. activities in Town. We need to create a mailing list.
e.Fall Activity Guide Preview – Sarah is working on the current fall guide and deadline is July 1.
Everyone is requested to talk about what classes they want and what space might be available. We
continue to struggle with facility space and cannot currently meet the need of the community
programming demands.
f.Joint Cities softball game update: Liza reported it is happening! There will be awards. Get players.
g.Family Campout update: Sarah will borrow the large screen projection system from Los Altos. There
are currently 60 campers signed up and we can go up to 250. Price is $20/pp and includes dinner
and breakfast. Kathy has been sending info on camping with toddlers to try to incorporate more kid
friendly activities into the event. This year the YC will also attend for free and run some of the crafts
and activities.
h.Joint Cities Village Green update: Scott/Sarah reported it is still happening.
i.Neighborhood Networks update: Kathy reported a meeting with Dennis Duffy and will continue to
follow up with CRC.

7.Old Business:
a.Piano concerts update – Sarah said she is still working on scheduling a date and Scott is working
on securing a piano.
b.LA/LAH Easter Activity – We may continue to advertise the LA event and not host our own.
c.Discuss having more culturally diverse events in town. Possibly update picnic menu etc.

8.New Business: Facility Use Policy – Add a SPECIAL MEETING July 16 to discuss
Future 2018 Meetings: July 16 SPECIAL, August 20, September 17, October 15, November 12 special,
