1. Call to Order/Roll Call (Quorum = 4) 2 open positions
Welcome Council Liaison and Committee

Associate Member: Kit Gordon
Absent: Vice Chair: Champa Sreenivas, Val Metcalfe, Julia Zarcone.
Staff Sarah Gualtieri. Council Liaison John Radford.
2. Approval of November Minutes as ammended - ( No Dec. meeting)
3. Confirm associate members for 2015: Kit Gordon / Rebecca Hickman
4. Discuss GOALS for 2015 and search for new P&R Committee Members
Because this first meeting in 2015 opened 30 minutes late for lack of a
quorum, we discussed the need for new active members for the Parks and
Rec. Committee. We would like to see a good diverse group of new people
who represent younger families and seniors. We would also like to
encourage more participation by residents on either end of town instead of
the middle of town where we already have representation. Each member of
the committee is encouraged to bring new people to the meetings and see if
they would consider associate status until they decide to join the committee.
We especially need people to help take over ownership of the Egg hunt in
April, the Pumpkin Carving in October and the Town Picnic table in June.
We are unable to take on additional public events until new members join to
help with the planning and production of new events and programs.

6. Spring/Summer Guide Preview / Fall/Winter Review: Sarah Gualtieri
The Spring Guide will be out at the end of February. Sarah is just now
working on getting back the contracts from vendors. Our vendors were late
getting things back this year and she is needing to do more follow up than usual. If
we want to add anything to the guide she will need the blurbs by the end of n ext
week – like the names of the speakers for the new speaker series.
7. Programming and Marketing Update:
Spring/Summer Guide – Mailed out late February / Classes start Mid March
Review ongoing marketing effort: Facebook / Newspapers / Online
Town Newsletter Submissions (September / December / March / June)
What needs to be included from P&R in each issue?
Discuss New LAH Speaker Series – Kavita Tankha
Potential Speakers / Available Dates for Council Chambers
Kavita is working with Sarah to schedule “good” speakers for a new
program. We would like to feature LAH residents or people who have a LAH
connection. We will start out small and grow to a longer program if successful.
We will put something on the calendar for April and then if successful tr y again in
the fall. We will charge a minimal fee with the funds going to support Parks and
Recreation Programs.
8. Champa Sreenivas – playgroup update for Spring Activities & Publicity
Champa was absent from this meeting but gave the presentation and update
to Sarah. She has been meeting on a regular basis with new LAH parents and
adding field trip dates. We need to check with Champa to see if any of these new
parents would be interested in becoming part of Parks and Rec. Also – its possible
that Champa might be able to help with the egg hunt event. The Preschool
Playgroup meets every Wednesday. They have added tours of the Fire Station,
Westwind Barn and the LA Library.
9. **Review Class and Facility Inventory - P&R goals for our public park
spaces: Review possible class list / Review property wish list.

We passed out potential classes using our limited or non exi stiing
facilities. Everyone is supposed to read it at home and then bring back their
favorite ideas and suggestions to discuss at the next meeting. We also discussed
that until we get more new members to the committee – taking on new projects
will be limited. At some point we would like to survey town residents to get a
sense of what programs they would like to see us offer – but for now Sarah has
done an informal survey of past participants and determined that they were happy
with the programs and most would return.
10. Events:
2014 Events - Recap
Holiday Barn Lighting 12/7 / Teen Gingerbread Houses / Sr. Tech Day
All public events continue to be well attended rain or shine. We are also
getting good support from the youth commission members. Partnering with other
committeed is always encouraged. We should check in with Community Relations
to see if we can help with their 2015 resident event. We should also check in with
other committees to see if any of their members are interested uin sharing their
expertise with P&R for future events. We need to add members to our committee
and we can start by seeing if any current committee members are terming out of
their current committees.
2015 Events:
Puppy Play Group – Spring Dates and new Instructor – Wait for Metcalf to attend
and give an update.
Hoppin Hounds 4/4 - Since Rebecca is now an associate member we will
need to find someone on the committee to assist with this event and learn what
needs to be done from Rebecca.
LAHfamily Spring Egg Hunt 4/4 Needs Leader 11-1 at Purissima Park
Earth Day 4/26 - Joint Event with the Open Space Committee
Pathway Run 5/9 – Scott Vanderlip
Town Picnic 6/7 – Needs Table Volunteers / Preschool Member Drive
4th of July Parade 7/4 – Sarah Gualtieri
Hoedown 9/12 (Saturday after Labor Day) Night time Fundraiser for Parks
and Rec. capital improvements. We can discuss this further at the February
meeting once we see what the costs would be for a covered arena for the barn and a
real toilet for the summer programs in the lower arena area.

11. Barn Facilities Quarterly Update (10:00 a.m.):
Westwind Community Barn –Report from Barn Manager – Torie Dye
Status on YRRP, programs / Camps, 4-H, PRPC, Other users
Status on rodent abatement, barn owl boxes, hill path maintenance . paddocks
Byrne Preserve - Programs / Maintenance (weed abatement - Acterra)
Tori came and gave an update on the Barn and all the users.
She is happy with the installation of the new paddocks. The riding programs
are all full and have been receiving positive feedback. She will check into the
actual cost of a covered arena to extend the riding season and possible some low
voltage lights for safety that would meet our codes. Once we know the cost for
this improvement we can plan fundraising efforts and schedule.
12. **Discuss potential LASD and Foothill College contract for Facilities Use –
Needs / Wants
What do other cities have in their contracts with their schools re facilities. Discuss
results of Sarahs meetings with the Gardner Bullis Principal and after school
programming at Gardner. Anything for Spring guide?
Sarah will meet up with LASD again to follow up on her fall meetings to
discuss use of their facilities for FREE events. She will also meet with Heather
Rose to discuss expanding our use of afterschool programs on site at schools. Our
town needs a contract with LASD that will guarantee us access to failaities for our
programs and treats us as a public service entity instead of a for profit program.

Edith Park and O’Keefe Preserve – Programs / Maintenance
Status of saving for future Parks and Rec. Facilities – Capital Expenditures
Kathy will go to several committee meetings to announce our need for
P&R members and our need for P&R funds for facilities and potential fundraisers.
