HomeMy WebLinkAboutAugust 18Town of Los Altos Hills Parks and Recreation Committee **Special Meeting Minutes Meeting Time: Monday August 18, 2014 from 9-10:30 AM Meeting Place: Parks and Recreation Building 26379 Fremont Road, Los Altos Hills, CA 94022 1. Call to Order/Roll Call (Quorum = 4) Welcome Committee Present: Chair: Kathy Evans, Patty Radlo, Val Metcalfe, Scott Vanderlip, Julia Zarcone. Staff Sarah Gualtieri. Absent: Vice Chair: Kavita Tankha, Rebecca Hickman, Champa Sreenivas Council Liaison John Radford. Associate Member Kit Gordon 2. Approval of Past Minutes - (April/May/June) – Patty Radlo / Kathy Evans Minutes approved with minor typo changes. Confirm that new officers for 2014/2015 are K. Evans Chair and Champa Sreenivas Vice Chair. There is 1 opening on the committee. *Next meeting *9/8 Re-visit discussion to elect a new secretary to take minutes: Chair will take minutes at the meeting and ask for comments . (Reply directly to Chair) Draft minutes will be available at the following meeting for discussion. If you are asked to comment on the minutes please respond within 24 hours back to the chair, otherwise wait until the meeting to add your changes. 3. Public Comments: (List Members of the public present) Nancy Couperous was present and wanted to remind us that the YRRP under Jane Kawasaki was using a different revenue model that the current YRRP model with Torie Dye. Both programs were and are at capacity and doing well even though the numbers show the current program with a much higher capacity and revenue. 4. Spring/Summer Class Review Numbers: Sarah Gualtieri 5. Fall Programming and Marketing Update: The Parks and Rec. Activity Guide is at the printer now and will be out in mailboxs by the end of the week. It is the most full guide we have ever had and several classes and programs were left off because there was not enough room to include them. Kathy Evans suggested adding pages to the guide and per previous presentations, we can add either 4 or 6 pages at a time without incuring additional postage fees. Kathy suggested adding 6 pages. Sarah will look into the actual cost numbers for adding pages, and increasing postage, and will present at the next P&R meeting so that we can discuss and make a decision for the spring guide. 6. Events: Recap: 4th of July – Sarah There were about 400 participants at the 4th of July Parade. It had diverse community participation and was fairly simple to put on. CERT members also helped and used the opportunity to practise emergency proceedures. Upcoming 2014: Hoedown 9/6 - Kathy Evans / Sarah Gualtieri The Hoedown has a great food truck scheduled to provide the BBQ meals for the event and we will be adding a new painting element in the craft area at this event. The band is under contract and we have requested the leather Tooling guild to participate. P&R members will ask around to try to get dsome local vendors to help with the farmers market element. Ron Knapp will be hosting a beer brewing demo. Julia Zarcone will donate a case of wine. Kavita and Champa will both help set up and break down this event so that they can learn the process. P&R Council Presentation at September Council Meeting 9/11 - Review Kathy Evans will be presenting to the council at their 9/11 meeting and all P&R members are invited and encouraged to attend this council meeting to show support and to be introduced to the council. The committee will review the powerpoint presentation following this meeting via pdf and will bring any mandatory changes to the next P&R meeting. This will be a spoken presentation and the powerpoint has mainly photos. The main idea is to thank the Council for their support of Parks and Recreation initiatives like the YRRP and the dog park and the Integrated Pest Management (IPM). 2015 Events – Defer to later meeting Hoppin Hounds 4/? - Rebecca Hickman LAHfamily Spring Egg Hunt 4/? Earth Day 4/? – Sarah Gualtieri Pathway Run 5/? – Scott Vanderlip Town Picnic 6/? – 4th of July Parade 7/4 – Sarah Gualtieri Youth Commission – Sarah Gualtieri 7. Facilities Update (10:00 a.m.): Westwind Community Barn –Report from Barn Manager – Torie Dye Status on YRRP, summer riding camps, 4-H, PRPC, Other users – GREAT! See attached numbers from handout. Status on rodent abatement, barn owl boxes, hill path maintenance – The gas used to kill the ground squirrels wan completely uneffective. Torie will ask them to redo the fuming at no charge and/or wait until the rains start for more effectiveness. Byrne Preserve - Programs / Maintenance (weed abatement) – Acterra will be asked to participate at the Hoedown and explain to people what they are doing and get more volunteers. Also ask them how long the dumpster will be blocking the view of the barn. Sarah and Nancy Couperous will contact Acterra. Update on Dog Park – Carl Cahill made the presentation on the dog park update. The fence bids came back cheaper than expected and they will be able to get more done using the maintenance crew. Courtney Corrigan donated $300. Rebecca Hickman will donate a water fountain and Val Metcalf will donate a bench. We can also ask for donations at the different P&R events through the year. LASD Facilities contract – There is a small window of opportunity to put together a facilities use agreement with LASD at a time when they need community support for their upcoming bond measure. Sarah should contact them to get something started that we can discuss at the next meeting. P&R goals for our public park spaces: Defered to later meeting. Review property wish list. Purissima Park Fields – Programs / Maintenance: Purissima Park Riding Arena – Programs / Maintenance / Arena Footing Edith Park – Programs / Maintenance O’Keefe Preserve – Programs / Maintenance 8. Discuss the need and preference for donated art near P&R building and WWB The committee will each make time to look at the art binders in the office at Town Hall and come to the next meeting prepared to discuss art elements they want to include at Parks and Recreation facilities. 9.
