Meeting Minutes

1. Call to Order/Roll Call (Quorum = 5) 9:05 a.m.
Welcome Council Liaison and Committee:

2. Approval of Past Minutes - (April) – Patty Radlo

No minutes available to discuss or approve. Will add to next agenda in June .
*Reminder all comittees meeting minutes are due to Deborah Padovan 3 days after
each meeting, and no later than the Monday before the next month’s meeting when
the next agenda is also due.
3. Public Comments: (List Members of the public present)

Brief presentation by Talia Kirschner – Acterra
Acterra is starting several new programs as part of their Stewardship
Program in Los Altos Hills. The first programs will take place in the 90 acres of
Byrne Preserve. They have scheduled a nature walk 5/22 Noon- 1:00pm with Paul
Heiple, Acterrra Staff Contanist and a clean up work day 5/24. Parks and Rec.
would like to see these linked to the Town website and advertised in the upcoming
Fall/Winter activity guide. Submission dates were discussed and Sarah confirmed
that the nature walk is already on the town site but the work days are not. Sarah
will look into this.
4. Spring/Summer Class Update: Sarah Gualtieri
Summer Riding Camp classes are almost full.
5. Fall Programming and Marketing Update:
Fall/Winter Guide June Deadline for Submission – Discuss goals

Review ongoing marketing effort: Facebook / Newspapers / Online
Town Newsletter Submissions (September / December / March / June)
We will have a better idea of the attendance numbers after the summer sessions
end. We will need to recap these in August for the September Council Meeting
presentation. We also brought up the issue of event signage in town. There are 7
identified locations to place signs with a maximum of 6 signs allowed in town.
P&R has fabricated only small numbers of signs to save money, but need to add to
the budget this year to complete the sign production so that we have 6 signs for
each P&R event. We keep these signs typically for 10 years so they need to be
generic and able to add or change dates.
Over time we need to add the across main banners for the Hoedown and eventually
Earth Day, possibly budgeting 1 sign this year and one next year to spread it over
the budget. We need to also attend a planning commission meeting to discuss the
wording and interpretation of the sign ordinance to confirm that we are able to
place all 6 signs in town prior to each event.
Julia Zarcone moved and Val Metcalf 2nd a motion to request P&R budget to
acquire 6 signs for each public event so that we can place in the 6 recommen ded
locations throughout town. We also request that 1 main street banner be purchased
for the Hoedown. We also moved and 2nd that we bring up the discussion at the
planning commission meeting to discuss the wording of the sig n ordinance to add
page mill past arastradero, as a location for event signs as leaving this off misses a
huge segment of residents.
6. Events: Recap:
Hoppin Hounds 4/19 -
Sarah Gualtieri – Much larger attendance this year with almost $800 earned
for chairity. Next year we would like the Sherrif to be on site for this event
with fliers talking about off leash dogs. There is a big up tick in the number
of incidences of illegal off leaqsh dogs in Byrne preserve after each Hoppin
Hound Event. The Sheriff could educate dog owners of the town ordinances
and show an enforcement presence for the next several weeks following this
event.
LAHfamily Spring Egg Hunt 4/19
Good attendance overall but smaller attendance for children under 5 years
old. We still need a way to get emails and info on the childeren who are preschool
age and not yet on any school system. With the picnic coming up we can collect
emails at the entrance to gage interest in a preschool program, and we can ask
LAHfamily to release the email list for the pre school age childeren so that we can
pole parents to judge their interest in a preschool playgroup for summer and fall .
The 4th of July parade is also another place to gather preschool information from
parents in attendance. Champa reported that there is a very high rate of nannys
who do not speak English that show up at the park and not many parents are aware
of the program.
Earth Day 4/27 – Sarah Gualtieri
Good turn out this year, but smaller than last year. Uncertain weather was
the reason for slow arrival times. We also need to make sure that the cat show
times are on the fliers each year. They show times never change, but having the
times listed on the flier ensures that people arrive in waves , in time to attend each
show. 1:30 and 3pm are the show times. We would also like to see the birds of
prey come next year. This fell through this year and we would like to try again.
Pathway Run 5/10 – Scott Vanderlip
We had about 550 pre registered runners and a total of about 600 total
people on site if you include families and non-running spectators. This number
may change as it includes several pre-assigned chips that were not picked up and
some no-shows that were pre registered. However, it was another popular
community event and well attended. Next year we need to make sure to allow
enough time to stuff the bags. The youth commission was a huge help stuffing
bags and it took 17 students nearly 2 hours to complete the job.
Upcoming:
Town Picnic 6/1 –
Champa Sreenivas – playgroup membership drive opportunity. Champa and
Kathy will collect emails at the entrance to identify families with pre school kids
who want to participate in a playgroup.
4th of July Parade 7/4 –
Sarah Gualtieri – On Track. Use this event as a place to gather emails for
preschool age children to include oin the preschool playgroup summer program.
Hoedown 9/6 -
Need banner and signs in this years budget. Previous signs are 10 years old
and no longer appropriate. Will research food vendors and report at next meeting.
Date confirmed 9/6, times confirmed at 3-8pm. Materials are on sale now with
coupons so we should not wait to purchase supplies.

7. Facilities Update (10:00 a.m.):
Westwind Community Barn –Report from Barn Manager – Torie Dye
Torie was absent. Sarah gave an update on the classes and said the programs
are fulling and looking good for summer. Arenas look great! New shade structure
was purchased for summer camps. Care will be taken to make these horse friendly
so they do not blow in the wind.
Byrne Preserve - Programs / Maintenance (weed abatement) –
Covered under the Acterra presentation and will be addressed in the nature
walks and work days.
P&R goals for our public park spaces:Dog Park, Bocce Ball Outdoor classes
Update on Dog Park Sites: Rebecca Hickman – Will add to the next
agenda after Rebecca has met with Council to discuss viability of recommended
site.
8. Discuss the need and preference for donated art near P&R building and WWB
Review Art Book from Office – Sarah Gualtieri – Art book is missing.
Defer to the next meeting. P&R members are encouraged to go by town hall and
look in the book and come to the meeting prepared to give their opinions.

meeting in December, 1/12/2015 confirm assoc. members, 2/9, 3/9
*Special meeting. New Officers elected in June for P&R
Associate Members confirmed each January.

sgualtieri@losaltoshills.ca.gov 24 hours or more, in advance, if you are unable to
attend a meeting. We have so many absenses over the summer that we may not
have a quorum and we need to let everyone know if a meeting is cancelled.
***Remember that there is no meeting in July and August 18 is a special meeting
12. New Item added to the agenda by a unanimous vote of the committee:
Nominate and Vote on new committee officers. Kathy Evans and Kavita Tanhka
were nominated to continue in theiur present positions (pending confirmation from
Kavita). Unanimous vote to re elect.
