HomeMy WebLinkAboutNovember 10Town of Los Altos Hills Parks and Recreation Committee Meeting Final Minutes Meeting Time: Monday November 10, 2014 from 9-10:30 AM Meeting Place: Parks and Recreation Building 26379 Fremont Road, Los Altos Hills, CA 94022 1. Call to Order/Roll Call (Quorum = 4) 2 open position2 Present: Chair/Secretary: Kathy Evans, Members: Val Metcalfe, Patty Radlo Kavita Tankha, Scott Vanderlip, Staff Sarah Gualtieri. Associate Member: Kit Gordon Absent: Vice Chair: Champa Sreenivas, Rebecca Hickman, Julia Zarcone. Council Liaison John Radford. 2. Approval of Past Minutes - (September / No Quorum for October) Minutes Approved unanimously with typo changes. 2. Public Comments: Karen Drucker – (Item #8 on this agenda moved up) Art Committee for Los Altos Hills. Karen gave a presentation on art in Los Altos Hills, and said she would like to coordinate with each committee to see what they are plannning and what they might like in the form of public art to represent Los Altos Hills. It could reflect what we do as a committee. She showed us her suggestion binder with sample art which is kept at Town Hall. The committee discussed our desire for art that reflected our rural nature and focus within Parks and recreation programs. We are interested in art that is made of natural materials, and colors, and features all ages of our population exploring nature, riding horses, climbing trees etc. No brightly colored modern art. No cookie cutter children playing, like in Los Altos. Kavita said she liked the blending of old and new, but the majotrity of the committee was in agreement on the natural materials and rural themed subjects exploring nature was more appropriate. Some art might be featured at the new dog park and outside the P&R building. We also expressed our desire that art be donated and that the town NOT spend tax dollars on the acquisition of these pieces. 4. Fall/Winter Guide Review Numbers / Spring Preview: Sarah Gualtieri The guide will be mailed out the end of February with classes beginning m id March. Sarah said that we could add 4 pages to the activity guide with minimal cost and since we had to leave important activities out of the last guide, we were in agreement that it was a good idea to add pages, and it was within her budget authority to do so. We would like to feature the Horsemen’s calendar of events and some library programs in the next guide, along with some new class ideas. Since we will not be meeting in December, when the guide will be finalized, we agreed to have sub committees meet individually with Sarah to finalize the blurbs and text for the new programs and instructors. Kit and Kathy will continue to edit the guide when it is mocked up. If anyone has a teacher who is interested in teaching a Parks and Recreation Class they need to contact Sarah as soon as possible. The Town offers the standard 70/30 revenue split with a $5 admin fee added per student, going to the town. The teacher needs to carry liability insurance or an umbrella policy on their homeowners insurance, or be covered by the school they are working at, if they are a teacher at that school. Kavita said that she would look into featuring a LAH Speaker Series featuring some well known residents in the Hills on topics of local interest. We can book Town Hall and advertise for the event but need to coordinate with other committee ’s calendars to not conflict with their spraker programs. We will agendise this for January so that we can brainstorm on who might be available to speak and what dates might work. Information can go out in the town newsletter. 5. Programming and Marketing Update: Spring/Summer Guide – All materials need to be in to Sarah by December 1st. Sub committewes will meet with Sarah to finalize their sections. Champa Sreenivas – playgroup update – hold until January meeting Review class and facility inventory – hold until January meeting Discuss Wish List for LAH facilities to meet the needs of the community 6. Events: 2014 Events - Recap LAHFamily Halloween Pumpkin Carving - Needs Leader –Discuss in January and try to find new P&R members who will take this on. The event has 175 Hills participants and is consistently well attended. Dog Park Opening 11/6 4pm – Was well attended and will be in the press. Sarah has a hit list of some items that need attention and will be addressing these in the next few weeks. Holiday Barn Lighting 12/7 – Sarah and Kathy will continue to meet to finalize. Val Metcalf will assist with the crafts and Rebecca Hickman needs to be contacted about the horse carriage to make arrangements for placement. Alex is working on a flier that will go out by the end of the week. Julia Zarcone will assist in finding music groups to attend. We will be featuring a new cookie decorating craft this year. Bob Stutz will be donating more pine cones and narcissis bulbs again. These need to be picked up before the event. The Town Council will have its turnover meeting on December 11 at 6pm and all committee members are invited to attend. Chef Chu will be catering so it is not to be missed! 2015 Events: Puppy Play Group – Date will be spring tba. Val is locating a new instructor and will coordinate with Sarah when one is found to announce in the guide. Hopp’in Hounds 4/4 – hold until January meeting because Rebecca is absent LAHfamily Spring Egg Hunt 4/4 Needs Leader – Possibly Champa? Ask her at the January meeting if she can co-lead this event. Earth Day 4/26 - Kathy and Sarah will coordinate with Nancy Couperous and Kit Gordon. Kit has several ideas about featuring more water wise demonstrations and vendors. The Youth Commission will also get involved. Kit is looking for teens to take on a wildlife observation copmmunity service project checking local wildlife cameras and downloading the feed and uploading to U-Tube for the Town, documenting the wildlife in our rural community. Pathway Run 5/9 – Scott Vanderlip – W orking on a new theme for this years run. Kit suggested that we use the creeks in town on a map. Scott liked the idea of mapping the runs route. Will keep the “run for the potty” as a back up idea and future theme pending the outcome of our P&R request for a year round toilet at the lower arena to service our summer camp children. Town Picnic 6/7 – hold until after January 4th of July Parade 7/4 – Sarah Gualtieri – hold until after January Youth Commission Events – Movie Night scheduled for 2/6 7. Facilities Update – hold until January meeting – Torie absent Westwind Community Barn –Report from Barn Manager – Torie Dye Status on YRRP, programs / Holiday camps, 4-H, PRPC, Other users Status on rodent abatement, barn owl boxes, hill path maintenance Byrne Preserve - Programs / Maintenance (weed abatement - Acterra) P&R goals for our public park spaces – hold for the January meeting Review possible class list / Review property wish list. **Discuss potential LASD contract for Facilities Use – Hold for January meeting. Needs / Wants: What do other cities have in their contracts with their schools re facilities? Sarah has had an initial meeting with the Gardner Bullis Principal and will follow up after the new year. Ongoing – hold for the January meeting Purissima Park Fields – Programs / Maintenance: Purissima Park Riding Arena – Programs / Maintenance / Arena Footing Edith Park – Programs / Maintenance O’Keefe Preserve – Programs / Maintenance 8. This item was moved up to the first position on the agenda because we had a guest from the public making a presentation on this. The committee discussed the need and preference for donated art near P&R building and WWB. 9. Old Business: None 10. New Business: None 11. Set Next Meetings: No meeting in December, 1/12/2015 confirm assoc. members, 2/9, 3/9, 4/13, 5/11, 6/8, No meeting in July, 8/10 *Special meeting.
