The subcommittee will then have until January 22, 2013 to make comments. On January 28, 2013 the RFP will be released for bids and a site tour will be held on February 15, 2013. The Council will not receive the RFP until there are respondents. After discussion, PRC members thought that one week was not enough time for the subcommittee to respond to the draft RFP. After the subcommittee sees and reviews the RFP, they will need to decide if a Special Meeting of the PRC needs to be called. It was also discussed that the PRC would like to have input on any bids received. Westwind Community Barn Capital Improvements The Town is developing 5 year capital improvement plan which will be rolled out next fiscal year. The Parks and Recreation Department needs to bring forward needs, requests, required maintenance, etc. so Town Staff will have an idea of what is needed and what can be done. This will be agendized for the next PRC regular meeting. Cactus Garden Scott Vanderlip is proposing to restore and refurbish the cactus garden located at Westwind Community Barn. Also the bench and arbor would be restored. All work would be done by volunteers. It was discussed whether or not this might be a suitable project for the Donor contribution. It is a larger space and nicer for a memorial. Sarah Gualtieri will present this to Carl Cahill to see if this might be acceptable to the Donor. Pest Control There are now three bids for Richard Chiu to review. Kit Gordon will meet with him and provide input. Associate Members Every January the PRC associate members must “re-up” if they are interested in staying on the PRC. Current associate members need to be contacted to see if they are going to continue on in the position. Julia Zarcone will contact Kavita Takha, and Kit Gordon will contact Jamie Lucia and Linda Swann. Activity Guide The cover of the spring/summer Activity Guide will feature a horse and several kids. Sarah reported that all stakeholders and vendors have been given their information for final edits.
