MEETING MINUTES
JULY 8, 2013

Call to Order: 9:01 a.m.
Approval of Minutes

Public Comment
Nancy Couperus reported to the PRC that the Stewardship for pulling invasive weeds from Byrne
Preserve has gone through.
Nancy also stated that Byrne Preserve needs more supervision. She said that on the 4th of July there
were firecrackers and shots being fired. She has seen cigarette butts in the area as well. This is a
major problem due to the amount of dry flammable brush in the Preserve and it is actually against
the law to do anything with flammable materials in the Preserve. Julia Zarcone reported that she
has seen and heard some of this activity as well.

Westwind Community Barn Update
Sarah reported that the RFP is out to the Task Force, Council, boarders, stakeholders, inquirers,
bay area barns, area vets and trainers. It has also been sent to the Town Crier, Horse and Style
Magazine, Bay Equestrian, Craig’s List, Twitter, and is posted on Facebook and the Town website.
Deadline for response is 4:00 p.m. on August 4, 2013. The Barn site tour is scheduled for July 15,
2013.
The PRC will be represented on the Evaluation Committee along with a member from FIC,
Council, Staff, and Industry. Julia Zarcone stated she felt there was a need for a barn stakeholder
and a member representing residents surrounding the barn to be included on the Evaluation
Committee. After discussion, the PRC made the following motion:
Motion: The members of the Los Altos Hills Parks and Recreation Committee at their July
8, 2013 regular meeting voted unanimously to recommend that Nancy Couperus and Ed
Medlin be added as Citizen Representatives on the WWCB Evaluation Committee so the
committee will be inclusive of all stakeholders. The committee also voted to have PRC
member Val Metcalfe represent the PRC on the Evaluation Committee.

Sarah reported that Rita, the interim barn supervisor is working slightly under 40 hours a week.
During the transition, Rita is working with Staff to confirm the services that the boarders are
paying to receive as well as showing the additional services that are available to them.
Julia Zarcone told the PRC that ground squirrels at the barn are still a problem and that there are
actually more ground squirrels that before. Sarah will contact the service provider and get an
update.
Summer Programs Update
Programs that have done well include Lego Flix NASA/Mad Science, and Superhero Filmmaking.
Camps with low registration include Ohlone, Basketball (cancelled) and a session of Lacrosse.
Hoedown Update
Kathy Evans told the PRC that she is still trying to get a food truck for the event. She has secured
a band, leather toolers, and Blue Grass musicians. There will be eight craft tables and she will
need one volunteer at seven of the tables and three for the soapmaking table. Patty Radlo will
work on getting the volunteers.
Youth Commission
Youth Commission is on break for the summer.
4th of July Parade Report
The parade went very well – Sarah stated that it grows larger every year. This year road closure
signage was changed from electronic to actual road signs. For next year, Sarah would like to have
the CERTS be more involved with the road closure by handing out detour maps to motorists.
Next meeting is Monday, August 12, 2013 at 9:00 a.m. at the Parks and Recreation building.
