MEETING MINUTES

RFP Update
Sarah Gualtieri reported to the PRC that barn manager Crystal Petralli has given notice. Her
last day at WWCB will be May 15, 2013. She also told the PRC that the Task Force will meet
one more time and the next step in the RFP process will be an Evaluation Committee.
Patty Radlo read a statement from Task Force member and PRC co-chair Rebecca Hickman,
who could not attend today’s meeting. Rebecca stated that of concern to the Parks and
Recreation Department is “The challenge of balancing concessionaire profitability with
Parks and Rec needs”. She wrote, “Possible concessionaire model might require the Parks
and Recreation Department to negotiate and pay for program and space time. This could be
costly and also is contrary to Westwind Barn’s designation as a community asset.
The PRC discussed the community aspects of WWCB and asked that this be emphasized at
the next Task Force meeting. Also, Val Metcalfe wrote to the PRC that she was concerned
that the Barn not become a training facility with the new Concessionaire model.
Summer Programs Update
Sarah Gualtieri reported that the upcoming Babysitting Class was cancelled due to lack of
enrollment. She said that based on the contract with the Red Cross, the class must be
cancelled or the Town will have to pay even if the class is not held. Also, no one signed up
for the Fun with Ceramics class despite its very popular demonstration at Earth Day.
Popular classes are the LEGO classes and Horse Camp – 2 sessions have wait lists. Sarah
said enrollment was starting to pick up for Green Bean Kidz.
Pathways Run
The chips were a huge success and Sarah hopes to have them for next years race as well.
The Youth Commission members were trained and handled the computers on race day.
Patty Radlo reported another good turnout of volunteers from local schools.
Sarah reported that some sponsors were “no-shows”. She also would like there to be better
integration between the CERTS, ham radio operators and EMS.
Earth Day
BCS and Gardner Bullis students performed Pathways cleanup for Earth Day. The routes
were picked for the students by Sarah Gualtieri and Chris Vargas, and took in to account
student age, path steepness, poison oak potential and amount of car traffic.
Sarah would like to add Pinewood School next year.
Hoedown
This year’s Hoedown will be held on Saturday, September 7, 2013 from 11:00 – 3:00. This
year the Hoedown is being held on the same day as the Town’s Volunteer Recognition
Dinner.
There will be music, food and crafts as in past years. Kathy stated umbrellas will be needed,
especially for the craft areas.
Youth Commission
The members of the Youth Commission have been very busy the past month – their
Leadership Conference was a success, they were computer trained and participated in the
Pathways Run, and have their election of Officers next week. The Commission will meet in
June and then take the summer off.

Next meeting is Monday, June 10, 2013 at 9:00 a.m. in the Parks and Recreation Building.
