HomeMy WebLinkAboutNovember 4Los Altos Hills Parks and Recreation Committee November 4, 2013 Regular Meeting Meeting Minutes Members Present: Chair Kathy Evans, Julia Zarcone, Scott Vanderlip, Kit Gordon, Val Metcalfe, Patty Radlo, Community Services Supervisor Sarah Gualtieri, Council Liaison Courtenay Corrigan Guests: Nancy Couperus, Champa Sreenivas, Jacqueline Lee Call to Order: 9:05 a.m. Approval of Minutes October meeting minutes approved as written Motion Val Metcalfe/second Julia Zarcone Westwind Barn Update Val Metcalfe reported on the “study session” by Council to consider the options developed by the RFP Evaluation Committee. The options presented were: 1. A no-boarding option, with a P & R Riding program, Community events, 4H Handicapped Riding Program and Pony Club. 2. a subsidized Concessionaire option, with all current programs and activities, and 3. A status quo option. All of these options will require some level of subsidy from the Town. Val stated that Town Staff prefers Option 1. RFP Committee members Nancy Couperus, Val Metcalfe, and Ed Medlin strongly favor Option 2, on the basis that this option provides temporary support to get the barn up and running, and would keep the barn as a vibrant entity, which would also ensure the longevity of Pony Club, 4H, and the YRRP. Council is having a Special Meeting on November 6, 2013 to make a final decision. Fall Class Update Sarah Gualtieri gave the PRC members an update on Fall class offerings. - Babysitting class went very well, had 11 participants - Mandarin and Family in the Kitchen were cancelled - Make Your Own Gingerbread House still needs more registrations Some possibilities for future classes include: - class at The Makery in Los Altos – Sarah has had no response from them yet - Paddleboard yoga - Junior Cotillion - Mixology/Cocktail College LAHF Halloween Approximately 200 people attended this year’s event. 140 Los Altos Hills residents and 60 Fremont Hills Country Club members. Jennifer Carlstrom will provide the PRC with a written wrap up of the event shortly. Additionally, Jennifer will write a “how to” guide for the event as she is currently looking for someone to take over running both the Halloween and Easter events. Youth Commission Sarah Gualtieri gave a recap of the Youth Commission’s Monster Bash. This year the YC changed the dance to only middle schoolers with the high school YC members running the dance, games, and ice breakers. Approximately 20 kids attended the Bash. Going forward the YC would like to make the following changes: - have the Bash run from 7:00 – 9:00 instead of 7:00 – 10:00 - change the dollar amounts on the Gift Cards, they want more gifts for attendees rather than two large gifts The YC will again be volunteering at the Thanksgiving event at Don Giovanni’s. The members will work on food prep the day before or will serve dinner on Thanksgiving Day. Barn Lighting Sarah Gualtieri is working on the crafts – she will assess what supplies Parks and Rec currently has and then purchase what is needed. Volunteers are needed for the event – Patty Radlo will work on getting. Kathy Evans is looking into the possibility of having the California Hussars do a horse demonstration. The demo would last between 5 and 10 minutes, with the riders in traditional Hungarian Hussar costume. Festival of Lights The parade will be held on December 1, 2013 at 6:00 p.m. The lights on the Town’s float have been upgraded to LED. Anyone helping to push the float needs to arrive by 5:00. Earth Day This year’s event will be held on April 27, 2014 from 1:00 – 4:00 p.m. Courtenay Corrigan said that she has a contact for a person that could bring birds. She will get contact information for Sarah. Facilities Kit Gordon is still working on getting the owl houses set up at Westwind Barn. She is waiting to hear from experts she contacted regarding where and how the houses should be mounted. Scott Vanderlip will look into the possibility of getting a wildlife camera. Intern Sarah told the PRC that her new intern is working out well. The intern is taking over several projects for the seniors classes. Meeting adjourned at 10:00 a.m. Next meeting is January 13, 2014 at 9:00 a.m. in the Parks and Recreation Building. There will be no meeting in December. Respectfully submitted, Patty Radlo Secretary
