HomeMy WebLinkAboutSeptember 9LOS ALTOS HILLS PARKS AND RECREATION COMMITTEE MEETING MINUTES SEPTEMBER 9, 2013 Members Present: Chair Kathy Evans,Vice-Chair Kavita Tankha, Scott Vanderlip, Patty Radlo, Val Metcalfe, Rebecca Hickman, Julia Zarcone, Community Services Supervisor Sarah Gualtieri, Council Liaison Courtenay Corrigan Guests: Richard Chiu, Nancy Couperus, Deborah McCarley Call to order: 9:02 a.m. Approval of Minutes August meeting minutes approved as amended. Strike sentence on page 2, under O’Keefe, “Currently the Open……at the site”. Motion Rebecca Hickman/second Julia Zarcone Fall Classes Sarah gave the PRC an update on fall class offerings. She reported that an ad will run in the Los Altos Town Crier for the next 4 weeks and there will also be posting of classes at local schools. Sarah will put information on the new classes up on the Parks and Rec website. Sarah said the next Activity Guide will feature Westwind Community Barn. One of the upcoming cooking classes will be held at the barn as well. Events Update Hoedown - Kathy Evans gave a recap of the event. The day was way too hot and the change in hours from 11:00 – 3:00 made this worse. Julia Zarcone mentioned that many local children had a conflict with the Hoedown because of soccer. It is definitely recommended to return to the original hours next year. Activities and music were moved to try and take advantage of shade. Craft tables were not in the shade until 3:00. More Easy-Ups are needed for next year. Sarah reported that the sound system that was being demoed was outstanding. She is recommending that the Town purchase the system for use at Town events and for emergencies. LAHF Halloween – Sarah Gualtieri will ask the group to present their plans for Halloween at the next PRC meeting. It was suggested that LAHF purchase their pumpkins early, which would enable the Youth Commission to use them for their event as well. Youth Commission Halloween – Youth Commission will hold their dance, the “Monster Bash”, on October 20th. The site has not yet been determined. Barn Lighting – Arrangements need to be made to get the stagecoach up to WWCB. Other Events – Holiday Caroling – December 19,, 2013 Hoppin’ Hounds – April 19, 2014 Pathways Run – May 5, 2014 Earthday – May 27, 2014 Town Picnic – June 1, 2014 Westwind Barn Update RFP status - The Evaluations Committee has met with one candidate and will meet with the second candidate today at 3:00 pm. The EC will meet to discuss the two candidates on Thursday, September 11. Sarah reports that both candidates have good qualifications and that it is a matter of doing due diligence to determine which candidate will provide more of what the Town is looking for. Council members will receive an update from staff at their next meeting. Rodent Abatement – Richard Chiu gave the PRC a status update on rodent abatement at the barn. The current contactor has come to the Town and stated that the current method of trapping ground squirrels is not working - there are just too many ground squirrels. Going forward, three different methods of abatement are currently being discussed: 1. filling the tunnels with sand and water 2. using carbon dioxide to kill the squirrels 3. use of propane He stated that once the Town has looked at these three options, as well as getting information on the gestation period for the squirrels, a decision can be made, and this decision does not require Council approval. Deborah McCarley suggested that the hibernation period might be a good time to utilize some of the methods. Nancy Couperus also recommended contacting Page Mill Pastures regarding what type of abatement is used there. Purissima Fields – Richard Chiu reported that drainage work will be done on field 2 over the course of the next two weeks. Old Business Additional staffing for Sarah was discussed. Sarah stated that she would prefer to have an intern as opposed to an employee. Patty Radlo reported on her findings on possible interns from local colleges. Foothill College does not offer recreation management classes at this time. SJSU has a major in Recreation Management with a required internship class for all majors. Patty has given Sarah the contact information for the faculty member in charge of the internship class. New Business Kathy Evans will give a presentation to Council on September 19, 2013 reviewing Parks and Rec programming, events and camps. She will also emphasize the importance of getting the riding programs back as soon as possible and with a high quality of instruction. She will highlight our new class offerings and articulate to Council all of the events that Parks and Rec does annually.
