Meeting Minutes
March 9, 2011
Members present: Chair Julia Zarcone, Val Metcalfe, Kathy Evans, Whitney Sagan, Kit Gordon, Jaime Lucia, Scott Vanderlip, Patty Radlo, Community Services Coordinator Sarah Gualtieri, Parks and Recreation Supervisor Eric Christensen, Councilmember Jean Mordo. Associate members present: Kavita Tankha Guests: Mayor Ginger Summit, Jane Kawasaki, Elizabeth Snyder Meeting minutes for January and February – approved unanimously as amended. Motion Kathy Evans, seconded Kit Gordon Activity Guide Marketing The Committee discussed how various classes in the current Activity Guide are/will be marketed: ~ Sarah Gualtieri reported that she has placed Guides at Town Hall, Westwind Community Barn, Los Altos Library, Chamber of Commerce, Hillview Senior Center, Rengstorff, and Town of Mountain View office. She will place Guides at Deer Hollow and Hidden villa. ~ Kit Gordon will write an article on Keith Gutierrez for Los Altos Patch Some suggestions for additional publicity include: ~ Guides could be place at the Little League Snack Shack for the entire season and specifically for Little League Opening Day. ~ Kathy Evans suggested getting testimonials from satisfied parents and participants Westwind Community Barn Meeting Room Update Sarah Gualtieri stated that the input she had received from the PRC regarding usage rules and regulations for the community meeting room had been very helpful, and had passed much of the information on to the Town attorney for review. Garcia is working with the Fire Department to obtain a maximum capacity number. Sarah will bring a final draft of the agreement to the April committee meeting for review. Budget Preparation/Requests Julia Zarcone has met with Eric Christensen and Sarah Gualtieri regarding the budget process, and has also reviewed past PRC minutes to determine what capital projects, events, and marketing projects had been discussed, with the possibility of requesting monies for their completion. During PRC discussion, it was suggested that two lists be developed, one for easier, more realistic projects and the second for longterm project goals – a wish list. Items discussed: 1. Capital Projects - request for additional paddock space at WWCB - request for extension of electrical hookups to outside area - composting toilet at WWCB - lights for sheds - off lead Dog Park - a playground, site undetermined - a town pool, tennis courts 2. Events - request an additional $5,000 for the Hoedown - Barn Lighting – possibly purchase Santa suit v. rental - Monies for additional entertainment at Barn Lighting 3. Marketing - purchase of five, 3’ x 5’ vinyl banners with changeable dates - additional funding for printing of the Activity Guide - funding for a postcard to be sent to Los Altos and Mountain View residents with LAH Parks and Rec information and link - funding for placement of advertisements in other publications Julia told the PRC members that items within each grouping needed to be prioritized, with data and research completed on each item proposed. Eric Christensen suggested requesting the marketing items first as they would be more easily obtainable. A subcommittee was formed to further discuss and prioritize the items above, comprised of PRC regular members Kathy Evans, Scott Vanderlip, Julia Zarcone, associate member Kavita Tankha,, and Jane Kawasaki, and Elizabeth Snyder. Earth Day Sarah Gualtieri reported that she had secured two additional wine donations for the event. Currently there are 21 vendors and organizations confirmed. Sarah has completed a press release and will send out. Sarah would like to reuse signage from last year and re-evaluate signage needs after this year’s event. She will research water bottle and bag options to ensure best quality and pricing. The PRC directed
Sarah to purchase 100 brown mesh bags with white logo, and 100 stainless steel water bottles with a brown logo. Hoppin’ Hounds Pet Food Express has agreed to donate between 800-1000 biscuits for the event. Pathways Run Scott Vanderlip informed the PRC that marketing of the Run to local clubs and running stores has already begun. This year there will be medals only for the top male/female finishers in the 5K and 10K. The PRC discussed the possibility of giving each participant a daisy as they crossed the finish line. Fourth of July Parade Mark Brier has confirmed the participation of LAHF for the parade. Courtney Corrigan will do a procedures binder for the person in charge of the event. Sarah Gualtieri has contacted the LASD regarding facilities rental at Garner Bullis School Joint LA/LAH Parks and Recreation Departments Meeting Two dates for a joint meeting have been proposed: 1. Wednesday, April 27, 2011, at 6:30 p.m. and 2. Wednesday, May 15, 2011, at 6:30 p.m. The agenda for the joint meeting includes the Los Altos Parks Masterplan, LAH senior committee update – to include discussion of transportation and access to each others programs. Next meeting is April 6, 2011 at Westwind Community Barn, at 9:00 a.m. This is considered a Special Meeting due to venue change.
