HomeMy WebLinkAboutMay 11LOS ALTOS HILLS PARKS AND RECREATION COMMITTEE MEETING MINUTES MAY 11, 2011 Members present: Chair Julia Zarcone, Kathy Evans, Scott Vanderlip, Patty Radlo, Kit Gordon, Rebecca Hickman, Councilmember Jean Mordo, Community Services Coordinator Sarah Gualtieri Guests: Mayor Ginger Summit, Town Staff Debbie Pedro and Carl Cahill, Karen Druker, Sister Santussika Approval of Minutes April meeting minutes approved as amended. Motion, Kathy Evans/Second Scott Vanderlip Public Comments Sister Santussika handed out a flyer and spoke to the PRC about the May 31, 2011 presentation by John Seager at LAH Town Hall. He will speak on several issues including climate change, women’s rights and children in poverty. One of her concerns was publicizing the event. Suggestions were to advertise in the Town Crier and LA Patch. Art Show Karen Druker, the Los Altos Hills Art Curator, stated that the Town art shows and receptions have been very successful, averaging 150 -200 people. Mrs. Druker talked to members regarding an art show in September of 2013 that would be Parks and Recreation themed, with 25% of all art sales for the Parks and Rec Department. She is requesting that the PRC designate a specific item/need for the funds, which would then be advertised with the event. The PRC will not have any financial outlay for the show, and no volunteers from the committee will be needed. Motion: The members of the Los Altos Hills Parks and Recreation Committee at their 5/11/2011 regular meeting, unanimously voted that the Parks and Recreation Committee support the Parks and Recreation themed Art Show to be held in September of 2013. The Art Show could be moved to an earlier date if there is a cancellation. Motion, Kathy Evans/Second, Scott Vanderlip Staff Support Town Manager Carl Cahill introduced Debbie Pedro as the management head for Parks and Recreation. Community Services Coordinator Sarah Gualtieri and Westwind Barn Manager Crystal Petralli will report to her. Sarah will be the “point person” for all PRC issues, questions, etc. for Debbie Pedro. Carl Cahill discussed a staffing proposal that will be made at the July Town Council Budget Meeting. The proposal will be for one FTE for Westwind Community Barn to augment Crystal Petralli. A PTE will be requested for Parks and Recreation. Town Manager Cahill stated that Westwind Community Barn represents one of the Town’s greatest liabilities and he feels that the barn needs more staffing. He stated the person to be hired needed to be a “jack-of-all-trades”. After PRC discussion, members voiced concern that with the PRC doing 6-8 events annually, and helping out with other events, that additional staffing needs be able to be discussed and addressed in the future. The PRC expressed that Barn liabilities and PRC functions should be addressed separately. Concern was also expressed with previous Parks and Recreation Supervisor time spent at the barn as opposed to working on Parks and Recreation Department programming, customer service, etc. Motion: The members of the Los Altos Hills Parks and Recreation Committee at their 5/11/2011 regular meeting unanimously voted to request that the Town Council fund one Full Time Equivalent (FTE) person to support Community Services Coordinator Sarah Gualtieri and the Parks and Recreation Department’s programs, activities, and events, in addition to the FTE to be requested by Town Manager Carl Cahill for Westwind Community Barn. Motion, Rebecca Hickman/Second, Kathy Evans Guide Preparation Sarah Gualtieri gave copies of the Production Schedule for the Fall/Winter Activities Guide to PRC members for review. Sarah told the committee that the process for guide production needs to be more streamlined. Currently there is too much “back and forth” with layout, blurbs, photography, content, etc. Councilmember Mordo stated that the majority of the editing needs to be done by Sarah and Alex Atkins, and the PRC needs to avoid micromanaging the process. A subcommittee was formed with Kit Gordon, Kathy Evans, and Whitney Saban, as members to work with Sarah. The role of the subcommittee will be primarily to work with content. Town Picnic The Parks and Recreation Department will have a children’s sand table at the Town Picnic. Volunteers are needed. 4th of July Parade Los Altos Hills Family (LAHF) is taking on the responsibility for this event, with some help from Sarah Gualtieri. Sarah has had several meetings with LAHF, and she is also working with the CERT’s and ham radio operators on their participation in the parade. Hoe Down Kathy Evans reported that the band is set for the Hoe Down. She recommends that the PRC hire the same food vendor as last year with changes, specifically, adding an a la carte menu. She also suggests beer only, unless wine donations can be secured. Kathy also suggested that volunteers have an apron with a Parks and Rec logo. Joint Meeting The joint meeting between the Los Altos and Los Altos Hills Parks and Recreation Departments will be held May 25, 2011 at 6:30 p.m., in Council chambers. Dinner will be provided.
