Meeting called to order: 9:16 a.m.
Activity Guide
Alex Atkins spoke to the members of the PRC, detailing his approach to the layout and
design of the Parks and Rec Activity Guide. Alex defines the “brand” of the Town by
consistently using one action photo on the cover of every Guide. Alex uses no back-
grounds, stating that not every activity has backgrounds that would look good on a cover.
The color of the border on the cover will change based on the season.
Alex said that the purpose of the guide is to “solve a specific question”, i.e. what are the
available activities and events in the Town. The Guide does not need to “sell” the Town
because the people looking at the Guide are already residents and have chosen to live
here. Julia Zarcone told the committee that over 60% of camp participants are non-
residents however, so it is still very important to showcase the Town.
Alex’s goal with the interior of the Guide is to “surprise” the reader, to use the layout to
“stop” the viewer by highlighting our activities. He feels this is best accomplished by
having two to four items listed per page. Alex told the PRC however, that he feels that he
is receiving conflicting instructions regarding page density and use of photos. The
Committee wants more density per page but doesn’t want to lose the impact of any
photos used on the page – with increased density, photos will become much smaller.
Eric Christensen reported to the PRC that he has been given direction to not increase the
cost of the Guide. Any increase in the number of pages in the Guide must be done in
increments of 4, and this increases the cost of the Guide by 20%, as well as an increase
in the amount of postage. Currently there is $12K budgeted for the two Guides, with the
summer Guide being slightly larger because of more camp and class offerings.
Eric spoke about the pagination of the upcoming Guide, specifically that page 13 will
contain trivia and history of Westwind Barn. Each subsequent Guide will have a similar
page devoted to a different Town facility. Eric has left one page in the Guide open for
“wiggle” room for any changes that might need to be made.
It was discussed by the PRC that it would be a good idea to capture the email data of
all camp and class participants so future Activity Guides can be sent via email.
Hoe Down
Sarah Gualtieri reported to the PRC that she and Jaime Lucia had inventoried all of the
craft items that were in storage and that they will be able to use what is currently owned
for this year’s event. The Town will sell drinks, popcorn, and glasses, with food being for
sale by outside vendors. Jaime Lucia has contacted Steve Lohr regarding wine for the
event. Any wine purchased from him will be at cost. Payment for wine will come from
Eric’s budget, however glass sales should cover this expense. It was suggested that we
charge $10 per glass with free refills, and that wine only be served in this glass – no
outside glasses allowed.
