HomeMy WebLinkAboutOctober 13 Los Altos Hills Parks and Recreation Committee October 13, 2010 Meeting Minutes Present: Chair Julia Zarcone, Scott Vanderlip, Kit Gordon, Kathy Evans, Patty Radlo, Community Service Coordinator Sarah Gualtieri, and Parks and Recreation Supervisor Eric Christensen Guests: Paul Kelleher from Los Altos/Los Altos Hills Little League Meeting called to order at 9:05 a.m. Approval of Minutes September meeting minutes approved as written. Motion Kathy Evans, seconded Scott Vanderlip. Joint Community Volunteer Service Awards Volunteer service award nominations, along with supporting documentation, are due to the Awards Committee by October 29, 2010. The presentation of the awards will be held on December 7, 2010. If any member of the Parks and Recreation Committee would like to make a nomination, it needs to be submitted to Eric Christensen. Hoedown Recap Sarah Gualtieri gave the PRC a recap of the Hoedown. She stated that the volunteers were integral to the success of the event. Her comments included: - The crafts went well, but some of the adult volunteers that had committed did not show up. This caused a problem because some of the crafts required adult supervision. - There needs to be a specific schedule for the volunteers, especially for the teens. There also needs to be a volunteer coordinator for the Hoedown, a person that can answer volunteer questions, ensure coverage, move volunteers as needed, etc. - Having beer was a definite hit and should be done again next year. - The horse show was very successful. This year the performance was longer. It was recommended by City Manager Carl Cahill, that there be more seating for the performance next year. - The food was very good. There needs to be a kids meal offered as the amount of food in the regular meal is too much. Having some a la carte items would also allow parents to get smaller amounts for their kids. - The vendor enjoyed coming, and also stated that he would like to come back next year. He also stated that he would like to see a kids meal. - The Supporters of Westwind Barn have given a grant to the barn which will provide additional power outlets and also a portable sound system. - Julia Zarcone also suggested that a vegetarian meal be offered. Barn Lighting The barn lighting will be held on December 5, 2010 from 1:00-4:00 pm. Kathy Evans and Sarah Gualtieri gave the committee an update on preparations. They have gone through storage and determined what needs to be purchased for this year. Kathy brought up to the PRC the concept of purchasing a Santa costume as opposed to the yearly rental. If the Town purchased a suit, it would pay for itself in two years. The Town could purchase the two elf and two vixen costumes to save on ongoing rental fees as well. Kathy also told the PRC that David Bellis from the Bullis Charter School will bring 2-3 singing groups and a band to perform at the lighting. Eric Christensen told the committee that he would like to do more lights, possibly along the gables and in the courtyard. If the LED lights were used, the lights could be put up one time and stay. Julia Zarcone commented that the timer used last year was broken and the lights were rarely on. Scott Vanderlip recommended that the PRC ask Council for funding for additional lights and replacements. Recommendation: The members of the Parks and Recreation Committee voted unanimously at their October 13, 2010 regular meeting, to recommend to the Town Council to allocate $300 for the purchase of additional lighting for Westwind Barn. Motion by Scott Vanderlip/seconded Kathy Evans. Publicity is needed for the barn lighting. The PRC cannot rely on the Town Newsletter due to the submission date of 12/1 – this would not give residents enough advance notice of the event. It was suggested that Town participants in the Festival of Lights Parade could wear tee shirts advertising the event. Little League Signage Eric Christensen met with board members of the Los Altos/Los Altos Hills Little League to review signage to be placed at Purissima Fields. He gave the PRC a handout showing what the new signage will be. Signs will warn people to “Be Alert” for balls being hit or thrown in the area. An age limit of 13 years and younger will also be on signs for the smaller fields. The PRC also recommended that if it is possible that the Sheriff’s phone number be posted on the signs as well. Eric told the committee that he is starting regular “stakeholders” meetings to discuss current and ongoing issues concerning Little League and the Town. Parking issues were also discussed. Cyclists are using the Purissima Fields lot to park for the entire day, creating parking problems for LAHHA riders at the Town Ring, and leaving fewer spaces for Little League participants on week-end game days. It was suggested that area bike clubs be contacted to elicit their help in getting the message out to their membership that they need to park elsewhere. Donated Bench Update The bench donated by resident Karen Druker has been in place in front of the Parks and Recreation building for about one month. It was discussed that the Town should recognize and thank Karen Druker for her contribution. Deer Hollow Eric Christensen reported to the PRC that if any LAH classes are to be included in the Mountain View Recreation Guide, the LAH Council wants to know what specific classes the Parks and Recreation Department would like included. The PRC discussed having the horse camps and website included in their guide. It is still being discussed whether LAH Activity Guides will be placed at Deer Hollow Farm and Rengstorff Community Center. Summer Camps Ellen Gibson, instructor for Green Beanz has said that she is interested in receiving Ohlone docent training. She will be directed By Eric to contact Rebecca Hickman. Activity Guide Eric passed out a handout outlining the schedule and deadlines for the Spring/Summer Activity Guide. The Guide will be in residents hands by 2/14/2011, and with the first week of spring classes beginning 3/14/2011. Eric also reported to the PRC that he and Jane Kawasaki are working on developing riding birthday party packages and Parent and Me classes, with the goal of bringing new people into our riding programs.
