Community Relations Committee
Meeting Minutes
Tuesday, June 27, 2017
Parks and Recreation Building
1.Roll Call; Committee Membership
The meeting was called to order at 7:35 PM by Chairman, Roy Woolsey. Present: Roger Burnell,
Barbara Cannon, Lana Einschlag, Karen Emerzian, Mansour Moussavian, Roy Woolsey. Associate
member: Neal Rayborn. Town Staff Liaison: Sarah Robustelli.
2.Introduction of Any Members of the Public
Kjell Karlsson, Patty Woolsey and Carol Petty attended the meeting. Carol is considering joining the
Committee, and she was introduced to all Committee members in attendance.
3.Review of Prior Committee Meeting Minutes
The minutes of the May 23, 2017 Committee meeting were approved as drafted.
4.Review of Prior City Council Meetings. No report.
5.September Committee Presentation to Council
Roy Woolsey stated that the Mayor has requested all Standing Committees to give a presentation
Council during the year, and the Mayor requested the Community Relations Committee do so in
September, after the Town Picnic. Roy led a discussion of a draft PowerPoint presentation he prepared,
which drew heavily on a presentation former Chairman Roger Burnell gave to Council in 2014. The
presentation states the charges and duties of the Committee and discusses what the Committee has done
and is doing to fulfill them. The presentation includes discussion of welcoming of newcomers, the Town
newsletter, special projects and events, the Town Picnic, and provides a list of possible future events that
the Committee has considered. After some discussion, the presentation was approved by the Committee.
Roger indicated that he might have an updated version of his 2014 presentation to Council, with more
photographs and illustrations of events, which he will try to locate and provide to Roy. Sarah Robustelli
offered to arrange a Town survey through NextDoor to determine the level of interest in the list of
possible future events, and it was moved, seconded and unanimously approved to have Sarah do so.
6.Meeting of Mayor with Standing Committee Chairs
Roy Woolsey reported that the Mayor has called a meeting with all the standing committee chairs or
substitutes for next month. Roy will plan to summarize the same general content as in the September
presentation to Council.
7.Welcoming of Town Newcomers
Roy Woolsey reported that the garbage company was somewhat slow in providing May newcomers,
sending ten newcomer names and addresses just the day before the Committee meeting. Roy will
2
combine them with June newcomers and submit mailing labels for both months in early July. Karen
Emerzian will take the lead on drafting a second welcoming letter which would be sent by the Committee
to newcomers a couple of months after the letter from the City Council, and the Committee will consider
that letter at a forthcoming meeting.
8.Los Altos Hills Town Picnic
Much of the meeting was devoted to a detailed discussion of the Town Picnic. Neal Rayborn
reviewed the classic car show. A total of 48 cars were exhibited on Little League field one. Both the
helicopter and the tractor train which went at a relatively high speed at the edge of the field raised dust
that got on the pristine classic cars on display. This dust is a problem that needs to be dealt with for
future Town Picnics. The car show awards were ready and given right on schedule during the
announcement period at the Picnic.
Some dissatisfaction with the quality of the concessionaire’s food was expressed. Roy Woolsey will
ask Fire Commissioner Duffy Price if there is any chance the Firefighter’s Union would return to doing
the wonderful Firefighters barbecue for the Town Picnic. The expensive rented public address system did
seem to reach the entire picnic, so that people heard the announcements. The layout of the picnic this
year seemed good, and no significant problems were noted or complaints were received.
A draft picnic report that Roy Woolsey had prepared was reviewed in some detail. Certain additions
were made, including comments about a lost and found, about no dogs at the picnic, and about the
possibility of the Committee having special Town aprons prepared for Committee members to wear at
future Picnics. The remaining subcommittee reports for the Picnic should be completed and submitted
soon, so the report can be finished and approved in the next Committee meeting.
It was moved, seconded and unanimously approved that a Town Picnic should be held on June 3,
2018, the first Sunday in June next year, and that Sarah Robustelli should be authorized to find a more
attractive train that will raise much less dust and commit the Town to having the train on that date.
9.Additional Items or Contributions from Committee Members. None.
10.Discussion of Date for Next Meeting
The Community Relations Committee usually does not meet during the summer months, because of
the travel schedules of Committee members often prevents a quorum from being present at the meetings.
It was agreed that the Committee would not meet in July or August, and that the next meeting would be
on the regular fourth Tuesday of the month meeting in September, which would be September 26, 2017.
Roy Woolsey reminded Committee members that the Town resolution on standing committees
requires the Committee to select new officers for the forthcoming year at the first meeting after July 1.
Roy asked that someone else on the Committee step forward and offer to serve as Chairperson for the
forthcoming year, and to please think about this before the September meeting.
11.Adjournment
The next meeting will be the fourth Tuesday in September, which is September 26, 2017. The
meeting was adjourned at 8:40 PM.
