Meeting Minutes
Tuesday, October 25, 2016
Parks and Recreation Building
1. Roll Call
The meeting was called to order at 7:40 PM by Chairman, Roger Burnell. Present: Chairman,
Roger Burnell. Members, Barbara Cannon, Karen Emerzian, Ron Knapp, Mansour Moussavian, Nena
Price, Roy Woolsey. Town Staff Liaison, Sarah Robustelli.
2. Introduction of Any Members of the Public. Kjell "Shell" Karlsson
3. Review of Prior Committee Meeting Minutes
The minutes of the Committee meetings of April 5, 2016, June 28, 2016 and September 27, 2016
were approved with recently-made minor editorial changes.
4. Public Comment
Kjell "Shell" Karlsson appreciated that his prescription sunglasses lost at the picnic were found.
5. Nomination and Election of Slate of Officers for 2016-2017
The Committee unanimously elected Roy Woolsey as chair and Nena Price as vice-chair for the
2016-2017 year. Roy said he was happy to serve as chair, but just for a one-year term and not for twelve
consecutive years as he did previously. A secretary was not chosen, but Roy said when he was Committee
chair in the past it was efficient for him to produce meeting minutes.
6. Review of Prior City Council Meetings. No report.
7. Subcommittee Reports
Roger Burnell led a discussion of the Stanford architectural tour that he proposes for a special
event which might be held on Sunday afternoon, April 9, 2017. Roger distributed draft copies of a very
attractive draft flier (copy attached) and provided a detailed discussion of a proposed afternoon agenda
that would include a brief welcome ceremony, visits to certain buildings allowing time to pass between
the buildings, and then a final closing program. This event would not include demonstrations by
researchers, but in two years it might be possible to organize a “learn in” event at Stanford involving
research staff. The Committee agreed to proceed with planning for this event, and Roger offered to be
event chair.
8. The Los Altos Hills Town Picnic
Sarah Robustelli reported on various items regarding the 2016 Town Picnic: A total of 1,647
meal tickets were issued, vs. 1,933 last year. The large canopy for dining was well-received, and a
somewhat larger one, if available, might be good to use in future picnics. Multiple robotics teams
participated. There was a budget overrun of about $1,500, but this was less than the overrun from last
year. Sarah suggested that next year’s picnic should be scheduled from 12:30 PM to 4 PM, since many
people arrive early and people tend to leave by 4 PM. Sarah will provide written picnic report inputs to
Roger Burnell, who will try to have a draft report available by the next Committee meeting for review and
approval by the Committee.
9. Old Committee Business
Upcoming Town programs. Sarah Robustelli reported on forthcoming Town events, including
barn lighting on December 4, chamber music in Council chambers on December 10, and caroling on
December 22, 2016.
Newcomer project. Roy Woolsey reported on the newcomer project. One sheet of 20 mailing
labels for newcomers to Town from May and June was provided to Town Hall in July for mailing of the
newcomer welcoming letter, a sheet of 16 labels from June and July was provided to Town Hall in
August, and a sheet of 20 labels from August and September was provided to Town Hall in October.
Committee membership. The Committee voted unanimously to approve the transfer of Ron
Knapp from full to associate member effective January 1, 2016; Ron said he will continue to support the
Town Picnic. Michael Schoendorf has not attended the last several meetings; Roy Woolsey will contact
him to see if he wishes to remain a member of the Committee. Barbara Cannon will contact Barbara
Waldeck to see if she would like to return to the Committee, and Linda Seidel will be contacted to see if
she would convert from associate member to full member.
10. New Committee Business
The Committee agreed that in its next meeting it would conduct a review of its mission, and how
best to fulfill that mission. The Committee might consider being more involved in the Town newsletter,
Our Town, perhaps by contributing “meet your neighbor” articles featuring individual families in Town,
including questionnaires soliciting feedback from residents on issues in Town, and encouraging use of
social media to improve communications within Town.
Roger Burnell discussed the presentation he gave to Council two years ago as an annual report to
Council, and noted that the report included suggestions for a number of other activities which the
Committee could organize in the future.
11. Next Committee Meeting
The Committee unanimously agreed to cancel the regular November and December Committee
meetings because of their proximity to the Thanksgiving and Christmas holidays, and instead to have a
special meeting at 7:30 PM on Tuesday, November 29, 2016. Sarah Robustelli confirmed that the Parks
and Rec building would be available for a meeting that night.
In addition to an e-mail from the City Clerk giving a link to the agenda for the meeting, Roy
Woolsey will e-mail the agenda to all Committee members the day before the meeting as a reminder of
the meeting.
12. Adjournment. The meeting was adjourned at 8:50 PM.
