HomeMy WebLinkAboutApril 14 TOWN OF LOS ALTOS HILLS Community Relations Committee Tuesday, April 14, 2015, 7:30PM Chair Roger Burnell called the meeting to order at 7:35 p.m. on Tuesday, March 17, 2014. Members present were Roger Burnell, Karen Emerzian, Ron Knapp, Michael Schoendorf and Barbara Waldeck. Associate members Bill Downey, Bob Mabe, Mansour Moussavian Neal Rayborn and Linda Seidel also attended. Town Staff Liaison Sarah Gualtieri was there. Review of Committee Minutes of February 10 meeting The minutes of the February 10 and March 17 meetings were approved by acclamation on a motion by Barbara Waldeck, seconded by Karen Emerzian. Review of Prior City Council Meetings There was no review of prior City Council meetings. Subcommittee Reports A. Roger Burnell announced that a copy of his report to the City Council is available for anyone who would like to view it. B. Special event planning has been postponed for the 2016 event year. C. Special events in the near future include Earth Day on Sunday, April 26 and the annual Fun Run on Saturday, May 9. Volunteers are especially needed for Earth Day. Please contact Sarah Gualtieri if you are available. D. Roger Burnell reported on the 60th Anniversary Party to the Council at their March 30 meeting. Roger, Roy Woolsey and Karen Emerzian toured the Los Altos Country Club on April 8 and determined that the venue would work for the party. The Club will hold 285 people. The budget for the party will be based on 225 guests. Roger has asked Jeff Buenz if his Jazz Combo can play at the cocktail hour to be held in the big room on the right and D.J. Carl Mindling to provide music for dancing after dinner. Rick Herns Productions will provide the decorations. The Committee discussed invitations. It was decided to place a “save the date” article in the September Town Newsletter and to mail formal invitations to all residents, probably in December. The Council agreed to fund the party $10,000. 2015 Picnic Car Show – The Car Subcommittee has met with Sarah Gualtieri and everything is proceeding on schedule. There will be about 50 cars. Neal Rayborn will contact owners of arcane cars and perhaps a self-drive car to ask them to participate. The Sherriff’s Department helicopter will be on display with the cars. Arrangements have been made to water the field to keep the dust down. Music – The contract with the Andre Thierry band has been finalized and a deposit sent. Food – The contract with Mavericks has been finalized. Entertainment – Sarah’s report also said that the Face Painter and Clown are confirmed. Roger Burnell will write to Stars and Stripes outlining past problems and express his hopes that they will not happen again. The Gunn Robotics team will be at the picnic again this year. The Sno- Cone station has been confirmed. Rentals – Linda Seidel confirmed that the rental order would be essentially the same as last year. She will ask that the equipment be picked up after 5 p.m. so there will be fewer people on the field. Registration - Last year’s invitation and registration form was passed around and updated. The question came up once again about what to do with families who register and inordinate number of people. It was decided that families registering more than 6 would be phoned to ascertain if all their guests are residents of Los Altos Hills. Ron Knapp and Mansour Moussavian thought that given the attendance of over 2,000 people that the few families who take advantage were not a big problem. Barbara Waldeck was concerned that confronting people as they arrive at the picnic to register will cause a great deal of ill will. Old Business As always, the committee needs new members. There are three openings. Mansour Moussavian agreed to apply changing his status from associate to voting member. The meeting was adjourned at 8:44 p.m. The next meeting is on May 19th.
