Community Relations Committee
Tuesday, April 16 1213, 7:30PM
Chair Barbara Waldeck called the meeting to order at 7:35 p.m. on Tuesday April 16, 1213.
Members present were Barbara Waldeck, Roger Burnell, Ron Knapp and Nena Price. Associate
members, Bob Mabe, Linda Seidel and Mansour Moussavian were present. Sarah Gualtieri, Town
Staff Liaison, also attended the meeting.
Introduction of Members of the Public
Neal Rayburn who will help Bob Mabe and Bill Downey with the car show attended the meeting.
Review of Committee Minutes of March 12 and March 26 meetings:
The minutes of the March 12, 2013 were approved unanimously on a motion by Ron Knapp and
seconded by Nena Price. The minutes of the March 26 meeting were approved on a motion by
Roger Burnell and seconded by Ron Knapp.
Comments by Members of the Public:
There were no public comments.
Review of City Council Meeting
Roger Burnell reported on the March 28 Council Meeting. He said that the reason our request for
an increase in the budget was denied was that the Council wanted more detail.
Subcommittee Reports:
Donation Policy:
Karen Druker obtained a copy of the City of Orinda’s Art Donation Policy. She and Barbara
Waldeck revised it to be more applicable to Los Altos Hills. A copy of the revision was sent to
all the Committee members. Roger Burnell said that the Council approved his suggestion to have
residents make donations of art to the town through the Los Altos/Los Altos Hills Community
Foundation instead of having the town set up a 501c-3 account. He and Barbara Waldeck will
meet before Thursday’s Council meeting to make this change to the policy. Roger will report to
the Council.
2013 Picnic – June 2, 2013
Budget: Barbara Waldeck said that she and Sarah Gualtieri attempted to determine exactly
where the budget could be reduced in order to have more money for food. They managed to
squeeze out and extra $3,000. Barbara then contacted the caterer Mavericks and asked if they
could provide a chicken barbecue for $13,500. Their initial estimate to feed 2,000 people was
about $17,000.
Entertainment: We still have no contracts in hand for Mike Stroud, the magician. Roger
Burnell will contact him again.
Music: Ron Knapp has arranged for the Jazz ConneXion to provide a quartet and vocalist for
$400.
Train and Inflatables: Sarah Gualtieri and Roger Burnell will continue to try to get a contract
signed by Nick Golden.
Games: Jamie Lucie was not able to attend the meeting. She is planning to have and egg and
spoon race, a three-legged race, a sack race, a tug of war, a wheelbarrow race and a water balloon
toss. Barbara Waldeck will tell her that she has a budget of $200 and ask her if she needs ribbons
ordered.
Ice Cream: Barbara Waldeck’s husband, Gary, contacted a friend who owns the Mountain View
Baskin Robbins and got a bid of $1600 for the ice cream. Monsour Moussavian will get in touch
with them to order the ice cream and get an invoice so a check can be ready to give them on June
2.
Dottie the Clown and Wendy of Neverland Faces: We still need contracts. Sarah will work on
it.
Car Show: Bob Mabe brought Neal Rayburn to the meeting. Bob may have surgery about the
time of the picnic. Neal will help Bill Downey with the Car Show. So far they have 38 cars
signed up with room for a few more, particularly if any Los Altos Hills residents would like to
participate. There will be a judges meeting at 1 p.m. with awards to be given out at 2:30 p.m.
Roger Burnell will provide the award certificates and frames before he leaves on his vacation.
Food: Barbara Waldeck reported that we have agreed to hire Mavericks of Concord to provide a
barbecue dinner with chicken, all-beef hot dogs and veggie burgers for $13,598.75. She said that
she called four references provided by Mavericks and received glowing reports from all four.
Invitation: Some minor corrections were made to the revised invitation. Sarah will give them to
Alex Atkins. The invitation should be sent the last week in April.
Committee Booths: Sarah Gualtieri will ask Deborah to email Town Committee Chairs and ask
if they want to set of information booths at the picnic. Each Committee will have to provide its
own table, chairs and shade. Barbara Waldeck said that the Palo Alto Mobile Emergency
Operations Center would like to bring their trailer and a police car to the picnic. Committee
members expressed concern about the space that Ken Dueker says he needs (20’ x 60’).
Rentals: Barbara Waldeck will get together with Linda Seidel to determine what we need to rent
this year.
The meeting was adjourned at 9:20 p.m.
