HomeMy WebLinkAboutMarch 12TOWN OF LOS ALTOS HILLS Community Relations Committee Tuesday, March 12, 2013, 7:30PM Chair Barbara Waldeck called the meeting to order at 7:35 p.m. on Tuesday, March 12, 1213. Members present were Barbara Waldeck, Roger Burnell, Karen Emerzian, and Ron Knapp. Associate members Bill Downey, Bob Mabe and Mansour Moussavian were present. Sarah Gualtieri, Town Staff Liaison also attended the meeting. Introduction of Members of the Public Nena Price, who is interested in joining the Committee, was introduced. Review of Committee Minutes of November 13, 2012 Meeting The minutes of the February 12, 2013 were approved unanimously on a motion by Roger Burnell and seconded by Ron Knapp. Comments by Members of the Public: There were no public comments. Review of City Council Meeting No one present attended the Council meeting. Subcommittee Reports: Donation Policy: Roger Burnell has contacted Los Altos and Palo Alto to ascertain what their donation policies are. Los Altos does not have a formal policy. They are developing one. The informal ad hoc volunteer committee has just been designated a Commission. Palo Alto has an Arts Commission with a 120 page document describing their process for soliciting and accepting works of art. The Commission has a half time position and a staff administrative assistant to help them. Barbara Waldeck pointed out that our charge was to consider a donation policy not limited to art donations. She thought that this could be rolled into an Art donation policy fairly easily. There was a discussion of the need for a 501C-3 designation for the Town. Roger said that the Los Altos Community Foundation has a 501 C-3 and will transfer art donated to it, making it possible for a Los Altos Hills resident to donate art and take a tax deduction. Roger will report on our progress so far to the Council at their March 21st meeting. He will suggest that the Town accept Mr. Sharma’s generous offer of a memorial sculpture. Working with Mr. Sharma should clarify what is necessary in a donation policy. 2013 Picnic – June 2, 2013 Entertainment: Roger Burnell was asked to provide Mike Stroud, the magician we would like to hire, with a contract for him to sign. Music: Ron Knapp has been unable to get a call back from the San Jose Metropolitan Band. He will continue to work on it. Train and Inflatables: Sarah Gualtieri will try to pin Nick Golden down and have him sign a contract. Dottie the Clown and Wendy of Neverland Faces: Sarah Gualtieri has a contract in hand for Dottie. She will ask Wendy if she would like to do face painting again this year without a tip jar. Car Show: Bob Mabe and Bill Downey already have 16 cars signed up for the Car Show. They will need cones, marking materials, a tent, table and chairs. The Mayor, City Manager and Town Clerk will be asked to choose their favorite cars and present awards to the owners. Roger Burnell will provide the frames for the awards. Food: Barbara Waldeck reported that she has bids ranging from $6.25 per person for a sandwich to $6.50 - $8.95 for a chicken barbeque dinner similar to last years. After much discussion, the Committee voted to serve a chicken barbeque dinner. Barbara Waldeck will determine which vendor seems the most reasonable and reliable. Roger Burnell will present our findings to the Council at their March 21st meeting together with a revised picnic budget. New Business Barbara will be out of town for the April 9th meeting. She suggested that the meeting be moved to April 16th. The Committee agreed. The meeting was adjourned at 9:15 p.m. Respectfully submitted, Barbara Waldeck, Chair
