HomeMy WebLinkAboutMay 14TOWN OF LOS ALTOS HILLS Community Relations Committee Tuesday, May 14, 2013, 7:30PM Chair Barbara Waldeck called the meeting to order at 7:35 p.m. on Tuesday May 14, 1213. Members present were Barbara Waldeck, Barbara Cannon, Karen Emerzian, Ron Knapp and Nena Price. Associate members Bill Downey, Bob Mabe, Linda Seidel and Mansour Moussavian were present. Sarah Gualtieri, Town Staff Liaison, also attended the meeting. Introduction of Members of the Public Neal Rayburn who will help Bob Mabe and Bill Downey with the car show attended the meeting. Review of Committee Minutes of April 16 meeting: The minutes of the April 16, 2013 were approved unanimously on a motion by Ron Knapp and seconded by Nena Price. Comments by Members of the Public: There were no public comments. Review of City Council Meeting No member of the Committee was present at the April 18th Council meeting. Subcommittee Reports: Donation Policy: Barbara Waldeck presented a copy of the Art in Public Places Committee and Policy document. She had sent copies of the document to committee members a week earlier so they would be able to look it over ahead of the meeting. Monsour Moussavian moved that the Committee approve the Policy. The motion was seconded by Bill Downey. Some discussion followed. Sarah Gualtieri was concerned that the Town of Los Altos Hills was referred to both as the Town and as the City. The official name of Los Altos Hills is the City of the Town of Los Altos Hills. Ron Knapp asked how much additional work for the CRC would be generated by the Art Committee. Barbara Waldeck responded that she thought very little extra work would be involved. Her concern is that members of the Art Committee who are members of the CRC would not be interested in attending meetings unless a decision about Art needed to be made. This would make it difficult to have a quorum at some meetings. It was suggested that members of the Art subcommittee be associate members of the CRC and their attendance would not be counted towards a quorum. The policy was approved unanimously. 2014 Picnic Budget Barbara Waldeck distributed a copy of a proposed budget for the 2014 picnic. It included expenditures for 2011 and 2012 as well as estimated costs for 2013. The total request for 2014 is $40,000. There was some concern among the committee members that the cost of the picnic is escalating rapidly. This is mostly due to the cost of a barbecue dinner. Barbara Cannon made a motion to submit the $40,000 budget to the Town. Karen Emerzian seconded it. The motion carried unanimously. 2013 Picnic – June 2, 2013 Barbara Waldeck distributed both the plot plan for this year’s picnic and the poster with the schedule. The poster will be 18” by 24” and will be mounted on a board and displayed by the registration booth. Barbara Waldeck will make nametags for committee members and VIP guests. She also will compile lists of volunteers to be contacted by subcommittee chairs to assign a time for their shift. We do not have contracts in hand for the magician, the inflatable games or the ice cream. Ron Knapp said we didn’t need a contract for the Jazz ConneXion band. Barbara will contact the food vendor prior to the picnic to finalize details. Nena Price and Jane Kawasaki will be in charge of interacting with them during the picnic, assigning volunteers to collect meal tickets and serve food. Linda Seidel has arranged for the rentals and has ordered ribbons for the games. Carl Cahill will not be at the picnic this year to select a car for the City Manager’s award. We will ask John Radford to select a car for him. The awards will still be called the Mayor’s Award, the City Manager’s Award and the City Clerk’s Award. Barbara Waldeck will ask Deborah Padovan to contact various Committee Chairs about having a display at the picnic. Linda Seidel will purchase 5 red and 5 blue plastic tablecloths for the ice cream and food tables. The committee seemed to be confident that the picnic will be as fabulous as ever.
