Community Relations Committee
Tuesday, November 8, 2011, 7:30PM
Chair Barbara Waldeck called the meeting to order at 7:30 p.m. on Tuesday, November
8, 2011. Present were Barbara Cannon, Karen Emerzian, Kathy Evans, Ron Knapp, and
Roy Woolsey. Roger Burnell arrived a few minutes later.
The Committee introduced themselves to Laura McCarthy who was visiting.
The minutes of the September meeting were approved unanimously.
Review of the City Council meeting:
Kathy Evans reported on the Council meeting. She and Roger Burnell presented our
revised charter to the Council. There were some questions about exactly what the
changes to the Charter were. Roger and Kathy ably fielded these. They then presented a
joint report on the 2011 Picnic and were congratulated on its success.
Plans for the 2012 Picnic:
Barbara Waldeck presented the proposed budget of $30,000 for the picnic. There was
some discussion centering around the cost of the entertainment and a possible increase in
the cost of food if the attendance increases as expected. The budget includes a $1200
contingency fund. We hope this will cover any unexpected costs. The budget was
unanimously approved on a motion by Kathy and seconded by Roger.
Ron Knapp is continuing his hard work sampling bands around the county. He will get
an estimate from the Touch of Class Band.
Roger Burnell has not had a chance to devote much time to locating entertainment. No
one has managed to reach the pirate who would be our first choice. Roger will continue
to work on it.
Sub Committee Reports:
Sarah Gualtieri asked that we go over her picnic article for the spring Activities Guide.
The Committee approved it with some minor changes.
Roy Woolsey reported that he had met with Deborah Padovan to go over the new
resident packet. He will provide her with the missing information such as a Newcomer’s
Club flyer and the Historical Society flyer. He provided a sheet of mailing labels
containing 16 names of newcomers to Town. The idea of visiting new residents to hand
out the packet was discussed. Beginning in January Roy will give Kathy the names of
new accounts he receives from Green Waste Recovery. Kathy will organize delivering
the packets. Careful statistics will be kept on the responses. Roger will design a postcard
for recipients to return to Town Hall.
Joan Sherlock was out of town so there was no report on the Neighborhood Network.
Kathy Evans reported on the Youth Commission. She attends their two meetings each
month. They now have a representative from Pinewood. There were about 75 teens at
the dance in October. Now the Commission is busy planning a leadership conference to
be held in February.
The New Resident Guide and Phone insert project has been postponed since it should be
included in the fall newsletter. Alex Atkins has all the material. Kathy Evans and
Barbara Waldeck will need to consult with Deborah Padovan about including it in the
newsletter.
A copy of the Get Involved Flyer that Joan Sherlock worked on was distributed. Roger
commented that the description of our Committee seemed to have shrunk to include only
the picnic and welcoming new residents.
Upcoming Town Events:
Ron Knapp will provide the drinks and Karen Emerzian the cookies for the Holiday Barn
Lighting on December 4th from 1 – 4 p.m. Kathy Evans predicted that there could be as
many as 600 people if the weather is good. Barbara Waldeck has a large coffee urn for
heating cider if it is needed.
Barbara Waldeck and Ron Knapp will provide refreshments for the Town Tree Lighting
on Saturday, December 10th from 6:30 - 9 p.m.
Completion of Old Business:
The issue of new volunteer shirts versus aprons versus baseball caps was once again
discussed. Ron Knapp brought a sample T-shirt that was admired but would be
expensive in a shirt with a collar. Roger Burnell got to the heart of the matter with the
question, “Why do we need them?”
Introduction of New Business:
The December meeting was cancelled. Our next meeting will be on January 10, 2012.
Barbara Waldeck asked that Committee members check with her before asking Town
Staff to undertake tasks for the Committee. We are a volunteer committee and should be
able to accomplish most things on our own.
Roger Burnell suggested that the quarterly Town Newsletter might feature a “Can you
name this path? Section each month with a picture of scenic section of the pathway
system.
