Community Relations Committee
Tuesday, September 13, 2011, 7:30PM

1. Roll Call: (Underline those who are present) Meeting called to order (time): 7:32 PM
CRC Members: Chairman Barbara Waldeck, Roger Burnell, Barbara Cannon, Karen Emerzian,
Kathy Evans, Ron Knapp, Roy Woolsey.
(There are 3 of 10 committee openings) Quorum=4
Associate Members: Bill Downey, Bob Mabe, Linda Seidel, Joan Sherlock, Marc Sidel, Jamie
Lucia (Terms are for 1 year and are confirmed at the beginning of each year in January)
Town Staff Liaison: Sarah Gualtieri. Town Council Liaison: John Radford.
2 Selection of Session Secretary - (Position rotates alphabetically). Following the ABC order;
Barbara Cannon - August, Roy Woolsey - September, Joan Sherlock – October, Ron Knapp –
November, No December meeting, Roger Burnell – January, Barbara Cannon - February, Kathy
Evans - February, Ron Knapp - March, Joan Sherlock - April, Roy Woolsey – May, Roger
Burnell – June.
3. Review of Committee DRAFT Meeting Minutes: August 23, 2011, meeting - Minutes
were read and approved unanimously with grammar changes from R. Burnell. Kathy Evans will
submit to Deborah Padovan.
4. Public Comment (Items not on the Agenda):

5. Committee Business Update:
• Welcome visiting prospective Committee Members
(Regular members encouraged to bring a guest to each meeting)
• Discuss and Revise Committee Charter – Present to Council at their Oct. 20 meeting
The committee reviewed the current CRC Charter and made several changes to
more accurately reflect what we are working on for the council. We also left in language
that will allow us to expand our area of responsibility, as we are able. This revised
Charter was approved by the committee and will be submitted to Deborah Padovan and
presented to Council at their next meeting on October 20th.
• New Resident Guide and Phone Insert – Kathy Evans / Barbara Waldeck
Kathy Evans and Barbara Waldeck are on the sub committee to review the New
Resident Handbook and Phone Guide. They are empowered to take the revisions to Alex
Atkins and bring back a DRAFT if time allows.
. • Town Newsletter – articles due to Deborah October 1.
• Committee Member Announcements – We need to recruit 3 new members.
6. Review of City Council Meeting – Attending committee members comment. Assign or
rotate Council Meeting attendance for 2011-2012
The regular City Council meeting on September 15th was cancelled and rescheduled as
a special meeting on September 22.
7. The 2011 Town Picnic: Recap Picnic – Vote on Final Report for Council
The committee voted to accept the Final Picnic Report with the grammar changes made
by the committee members, and submitted to Kathy Evans, along with the executive summary
written by Barbara Waldeck. The final report will be submitted to council along with a request
for the 2012 picnic budget of $30k – the same as this year, based on the recommendation at
our last meeting in August, by John Radford. Barbara Waldeck will adjust the tables to add the
2011 numbers from last years report and then turn it in to Deborah Padovan. Kathy Evans and
Roger Burnell will make the presentation to Council at the 10/20 meeting on the CRC Charter
revisions and the Final Picnic Report and the Budget request for next years picnic.
8. Open Discussion on plans for 2012 Picnic:
Top 2012 Picnic Items to Secure: Entertainment / Food Menu / Music / Rentals
Roger Burnell will secure the pirate show for the 2012 picnic. He has already contacted
a new pirate show, but it has very heavy equipment and could harm the little league
fields. They also do not provide a theater show, but more of a “swash buckling” romp
through the crowd. The committee expressed a desire to get the original pirate back
and rotate it from year to year with other similar shows. It is also possible for Sarah
Gualtieri to work on getting the pirate if Roger gets busy. Kathy Evans also suggested
the Castle show, which was recommended by the pig act. They do a theater type show
and would make a good alternative to rotate with the pirate, magician and pigs in future
years.
**Assign Picnic Tasks and Areas of Responsibility for 2012
This was only briefly discussed and only the main areas of responsibility were assigned. Ron
Knapp will work on the music, and Roger Burnell will work on the entertainment. Bob Mabe and
Bill Downey will work on the Car Show. We can discuss this at the next meeting to make
additional assignments.

8. Sub Committees Reports:
• New Resident Outreach - Roy Woolsey
Roy reported that he took a sheet of 20 new resident names to Town Hall. He
met with Deborah Padovan and reviewed what was being mailed out on the new resident
packet. He will meet with her again next month.
• Neighborhood Network – Joan Sherlock
Joan reported that Steve Garcia has submitted his resignation, which leaves a
need to find someone who can work with Mike Sanders on the PEP and CERT training and the
Neighborhood Network program. Joan is available to train a new person, but we need to recruit
a new CRC member willing to take this project on and work with Joan and Mike. Kathy Evans
will ask Mike Sanders to send out a request for help to all the CERT members and hopefully
one will apply to the CRC committee. Joan also reported that another Neighborhood Network
event was held for about 30 people.
• Youth Commission – Sarah Gualtieri
Sarah is absent, but Kathy Evans reported that the YC will host a Monster Bash
dance on Friday 10/21 at the American Legion Hall across from Draggers. They have
requested donations of Halloween decorations and will receive up to $1000 from LAHFamily for
this teen event. The Regular LAHFamily Halloween pumpkin Carving event is scheduled for
10/23 3-6pm at Fremont Hills. Kathy Evans pointed out that it would be nice for the CRC to
attend this event to show support and possibly recruit new CRC members.
9. CRC Volunteers and Contributions at upcoming Town Events:
• Fall 2012 New Resident Event – TBD / Also Needs Budget Proposal – Roger Burnell
• LAHfamily October Pumpkin Carving Event October 23rd 3-6pm
• Holiday Barn Lighting, Sunday, December 4th 1-4pm (R. Knapp / K. Emerzian, B. Cannon)
•Town Tree Lighting / Movie Night, December 10th 6:30-9pm (LAHFamily) (Barbara Waldeck)
This event was consolidated with the caroling event so that staff did not have to work
another evening. The teens will make gingerbread houses in the P&R room and the little kids
will watch a holiday movie in council chambers. Carolers will serenade the Tree and then walk
around the neighborhood during the movie.
10. Completion of any Old Business:

The committee agreed on the French Blue color with white thread for the Town logo and
VOLUNTEER. Barbara Waldeck will follow up to see if we can order these for next years picnic.
