HomeMy WebLinkAboutOctober 26 Los Altos Hills Community Relations Committee Tuesday, October 26th, 2010 7:30PM Town Hall Parks and Recreation Room 1. Roll Call – Present: Kathy Evans, Breene Kerr, Duffy Price, Glen Reed, Joan Sherlock, Karen Emerzian, Nick Osborne, Roger W. Burnell, Ron Knapp, Roy Woolsey, Sarah Gualtieri. Absent: Allison Atkins, Linda Seidel, Marc Sidel, Bob Mabe, Bill Downey, and Barbara Waldeck. 2. Public Comment – Kathy reported on the Volunteer Committee Awards: Nominations are due 10/29. All nominations should be faxed to the attention of the LAH City Clerk (650) 941-3160 by October 29, 2010. 3. Newsletter transition – Kathy reported that she had received an updated resignation letter from Duffy Price, Editor of Our Town Newsletter, who has decided to continue as editor and temporarily delay her resignation, until after the spring edition of the newsletter, to help with the editorial transition, until her replacement team is named and seated. The committee thanked Duffy for all her years of service to the community as the voice of Los Altos Hills. Discussion of a new editorial staff and successor will be noticed and discussed at the January CRC meeting. Currently Glen Reed is the acting assistant editor and is Duffy’s recommended successor. The town is also interested in possibly having Sarah Gualtieri assist as a production coordinator, to help insure the newsletter maintains its production schedule and continues to be printed on time. The committee will discuss this in further detail at the January CRC meeting. 4. Selection of Session Secretary - October 26th Meeting Joan Sherlock secretary for the evening. This position will rotate among all CRC members at each meeting. 5. Memberships: Associate and Regular - Kathy recommended Marita Vargas for prospective associate membership, and reported out on her professional journalism background, and said that she would like to help with the newsletter editing. Marita has also met with Glen Reed, our current assistant editor and he also recommended that she join the editing team. The recommendation for her approval to associate member will be noticed and discussed at the January CRC meeting. · Roger will bring a proposal for new, regular and associate member terms and expectations, to the January meeting for discussion. We have several positions to fill or consider reducing the number of members on our committee. · Nick Osborne informed the Committee that his term expired in September, and he will not be reapplying to council. The committee thanked him for all his help and service to the community. It was noticed that several CRC members’ terms are expiring in November 2012 and there is a need to begin to recruit new regular and associate members to the CRC. 6. Reviews and Approval of Committee Meeting Minutes: August 24th Minutes were approved as written, motion by Roger, seconded by Duffy, passed unanimously. 7. Sub Committees Reports: · Youth Commission – Sarah G., reported that the YC has ordered T-shirts. The YC logo was designed by one of the commissioners and the shirts will be worn at volunteer events. The YC will be attending Nov. 5th LAYC dance in Los Altos, with the Los Altos YC, as chaperones. They will also help at the Holiday Barn Lighting Dec. 5th 1-4pm, and Movie Night on December 11th from 6:30 – 9:30. There were two New Youth Commissioners approved at the last Council Meeting, Megan Wu (Gunn) and Eric Nevalsky (Bellarmine). Both were recruited by current YC members, and presented their resumes to Council before being approved. Roger initiated the discussion around whether we needed to change the current YC rules for approval, this will be put on the Agenda for January. Sarah Gualtieri pointed out that she has been attending all the YC meetings with Kathy Evans, and that the YC has several LAH teen events planned for the year as well as some joint events with the Los Altos YC. They are also actively recruiting at their schools to fill the positions that will be vacated by graduating seniors in the spring. The YC meets the first Wednesday of every month at 6:30 at town hall. · New Resident Report - Roy Woolsey. 40 new names were submitted over last two months and all have received new resident packets. Glen Reed and Allison Atkins are working on updating the important phone number list, which could be included in the new resident packet in the future. · Residential Handbook Supplement – Status: Glenn Reed – This insert will go out in our September Newsletter. The best time to finish producing the insert, is during the slow months of January and February, before the picnic plans are in full swing. It can be reviewed at the February CRC meeting for committee approval. Glen is authorized to do a couple of mock-ups with Alex so that the committee can vote on their preference. There was some discussion about whether or not this new insert could eventually go as a stand-alone piece, or if it will remain an insert or pullout piece, to be printed once a year. When it was originally costed out, there was a significant cost savings both on postage and on printing, as an insert. A separate mailing might be cost effective if it was paired with another town wide mailing, such as emergency info. Joan will advise Glen and Allison, what else might be included in the mailing that would also pertain to emergency preparedness. · “Our Town” Newsletter Report - Duffy Price: Duffy announced her resignation as Editor in another separate letter. Her resignation will be effective on March 18th, following completion of the spring edition of “Our Town”. She announced that the December issue is well underway, and should not be late. It is currently in the review stage. The lead article is on “Emergency Alert - Email Registration”, based on Carl’s experience in the San Bruno fire. There will also be information on upcoming CERT, PEP and NNP classes. There will be an article on the town installing electric car EV charging stations. Breene Kerr will provide pictures of the Coolem charging station. The next issue expected out Dec. 1st. The next print deadline is January 10th, for the March 1st publication. · Neighborhood Network Report – Joan Sherlock: No additional committee budget needed, unless we vote to expand program. She is still actively recruiting Neighborhood Captains for each area on the emergency CERT map. She will Revise the pages on website to take out the artwork to save money in printing. A request was made that we put a schedule on the website. Kathy Evans’ neighborhood emergency preparedness event will be on Saturday, December 4th from 11:00 a.m. – 1:00 p.m. Roger Burnell’s neighborhood emergency preparedness event will be on Tuesday, December 7th, 7:00 – 9:00 p.m. All CRC members are encouraged to attend one of these events, and give their feedback to Joan on how the program might be streamlined or improved. 8. The 2010 Final Picnic: Report to Council – There were 1800-2000 residents who attended the 2010 picnic, roughly the same as last year, compared to 1500 two years ago. The parking Shuttle bus was a good addition. The committee is late in turning in our final report to council. Roger has been unavailable, but will put this on the January agenda to review with the committee before submitting to the council in February. Nick Pegueros put “actual picnic costs” together on a spreadsheet. The actual costs can be merged with our committee estimates, for future planning. There were several one-time expenses this year, with the new signage and late printing. Sarah Gualtieri is working with Dave Snow on the automated registration for next year. It will be up on the website after the first of year, using the old registration template. · Adjustment to Field conditions - Roger gave full report at prior meeting. Richard Chu will follow up with path grading solutions as discussed, for the new train-ride addition. Kathy suggested that more CRC members participate the day before the picnic, with the field marking. 9. CRC Volunteers and Contributions at upcoming Town Events: December 12th Caroling in the Hills – meet at Town Hall 7-9:00 p.m. Scott Vanderlip is the contact for this event. Ron Knap will check with him to see if they are expecting the CRC to bring sodas or other refreshments. · Roger in discussions again with Stanford University, for a tentative community event in the fall, potentially October. · Masters Synfonia Chamber Orchestra – would like to do a community concert in Los Altos Hills. Sarah will report back if there is a recommendation to proceed. Council will be discussing this further. · Duffy suggested hosting a juried art show, based on the theme “Baylands to the Mountains”. Karen Drucker will contact Kathy Evans about a September event. · December 5th: Holiday Barn Lighting: 1:00 – 4:00. CRC will bring (cookies & hot cider for 250 people) Parks and Rec. needs to bring two tables and chairs and table clothes. Karen Emerzian will bring cookies Ron Knapp to bring cider; Duffy Price will bring her hot pot. Sarah and Eric will being tables and extension cords. The CRC committee will look into purchasing 2-3 large, stainless steel coffee urns to leave at the barn and be used every year for the public events. 10. Next Meeting Date: January 25th, 2010, 7:30 pm (Roger will Chair. No meetings in November and December – Have a great holiday!) 11.
