HomeMy WebLinkAboutJuly 7 1 Town of Los Altos Hills Community Relations Committee Meeting Minutes Tuesday, July 7, 2009 Parks and Recreation Center 1. Roll Call The meeting was called to order at 7:30 PM by Chairman, Roy Woolsey. Present: Chairman, Roy Woolsey. Members, Joan Sherlock, Patty Woolsey, Marc Sidel, Duffy Price, Ron Knapp, Roger Burnell, Karen Emerzian, Nick Osborne. Associate members, Bob Mabe, Kathy Evans, Barbara Waldeck. Youth Commissioner, Allika Walvekar. 2. Committee Organization The Committee selected Roger Burnell and Kathy Evans as committee co-chairs, subject to Kathy Evans applying for and being appointed by Council as a full member of the Committee; otherwise, Roger Burnell and Joan Sherlock will be co-chairs. In any event, Joan will be Committee secretary. The Committee expressed its appreciation to Roy Woolsey for chairing the Committee for the past 12 years. 3. Review of Prior Committee Meeting Minutes The minutes of the last Committee meeting were approved as distributed. 4. Welcoming of Town Newcomers Patty Woolsey reported that one sheet of newcomer names was delivered to Town Hall early last month for mailing of the newcomer-welcoming letter, and that the new garbage company still has to be asked each month to submit newcomer names. 5. Discussion of Tasks for Youth Commissioner Allika Walvekar reported that she has up to 14 students interested in helping with various youth community service activities, and she will be conducting interviews in August. She is planning monthly meetings of these volunteers, and then would report results to our Committee. She is working with Mark Breier’s group, will work with middle schools regarding drug abuse, and hopes to plan teen events to unify the teenage population. The students who show interest in serving on the Youth Commission will report to the next two Committee meetings. There, the Committee will approve all interested applicants. 6. Review of 2009 Town Picnic Over 1,800 Town residents attended the Picnic, approximately 400 more than last year, probably due to a combination of the reputation of the event, the very attractive additional Town Newsletter that was distributed just before the picnic, the pleasant weather, and perhaps other factors, and people seemed to stay longer at the event. Roy Woolsey reported that there were a substantially lower percentage of no- shows than in past years, and still lots of people attended without reservations. Joan Sherlock will obtain the binder of registration forms from Town Hall and use it to assure that all paper registrations were on the spreadsheet, since a number of families claimed to have reserved but were not listed on the registration forms. 2 Suggestions for future events include: The back of the registration canopy might be like a tent to shield registration volunteers from band and other noise. One temporary toilet should be by field # 1. With 56 classic cars, including many from LAH, perhaps only LAH cars should be invited next year; a firm date should be chosen with RSVPs by that date. More sugarless ice cream should be ordered. Residents who reserve for eight or ten or so adults should be contacted before the event to be sure they are not inviting out-of-town friends. Roger Burnell will arrange a thank you letter to the Fire Dept. Roy Woolsey asked subcommittee chairs to submit reports that he will combine into a final picnic report. 7. Los Altos Hills Town Newsletter Duffy Price led a discussion of the June “Our Town,” which the Committee agreed was an excellent production. Alex Atkins has been tremendous to work with. It was suggested that the “Los Altos Hills” on the masthead could be in larger font, to more clearly indicate that the publication is the official one from the Town. For the next “Our Town,” Roy Woolsey will write a summary article on the Town Picnic and Roger Burnell will provide an article on the Planetarium event. Duffy originally suggested that the lead article might be about the Westwind Barn renovation, but after some discussion it was thought that the Planetarium event might be featured. 8. Discussion of Committee Logo on Town Website The consensus of the Committee is that the logo with people holding hands around a globe should be used for a Committee logo. Duffy Price will see that this is implemented on the Town website. 9. Hidden Villa Summer Concert The Hidden Villa Summer Concert is scheduled for July 26. Roger Burnell, Nick Osborne, Joan Sherlock and Ron Knapp volunteered to arrive at 3:30 PM to help with the reception before the Concert. 10. Discussion of Educational Event at Foothill College Planetarium Roger Burnell is working with Foothill College regarding a “tour of the galaxies” program for October 2, 2009. Arrangements for the event should be finalized in the next Committee meeting. 11. Report on Status of Neighborhood Network Program Joan Sherlock led a discussion of the neighborhood network program, which started as a program to develop neighborhood meeting networks and has involved more into emergency preparedness. Steve Garcia is taking the lead on the program. Joan will coordinate marketing/publicity, and will prepare an article for the Town Newsletter. 12. Additional Items or Contributions from Committee Members The Mayor’s reception is Thursday, July 9, at about 7:30 PM, just after a short Council meeting. The Westwind Barn Hoedown is September 12; Kathy Evans distributed reservation forms. 13. Date for Next Meeting and Adjournment The next meeting will be at 7:30 PM on Tuesday, August 25, 2009.
