HomeMy WebLinkAboutDecember 9 1 Town of Los Altos Hills Community Relations Committee Meeting Minutes Tuesday, December 9, 2008 Parks and Recreation Center 1. Roll Call The meeting was called to order at 7:35 PM by Chairman, Roy Woolsey. Present: Chairman, Roy Woolsey. Members, Duffy Price, Patty Woolsey, Ron Knapp, Karen Emerzian, Roger Burnell, Nick Osborne. Associate Members, Barbara Waldeck, Bob Mabe. Visitor, Marc Sidel. 2. Committee Organization Roy Woolsey noted that the Council had reappointed six of us to new four-year terms at the last Council meeting, and that we need to choose a Committee chair for the remainder of the fiscal year. Ron Knapp was nominated for Committee Chair, but declined to accept the position at the present time, stating that perhaps he could serve as Chair at some point in the future. Roy Woolsey was then nominated for Committee Chair. Roy noted that he has served eleven consecutive years as Chair, but the Council did agree to another year when it reappointed Committee members. After brief discussion, the Committee unanimously agreed to appoint Roy as Committee Chair for the remainder of the fiscal year. Roy noted that there still remains one vacancy on the Committee, and Marc Sidel said he is submitting an application for that position. Roy also noted that the position of Youth Commissioner is vacant, as both Ting Ting Liu and Lisa Kellman have graduated from high school and are now in college. 3. Review of Prior Committee Meeting Minutes The minutes of the last Committee meeting were approved as distributed. 4. Welcoming of Town Newcomers Patty Woolsey reported that since the last Committee meeting, half a sheet of mailing labels with ten newcomer names was delivered to Town Hall for mailing of the newcomer-welcoming letter. Patty noted that arrangements with the new garbage company still need to be finalized to get names of newcomers each month. 5. Los Altos Hills Town Newsletter Duffy Price led a discussion of the Town Newsletter; there were so many articles that the December Newsletter is twelve pages in length. Duffy noted there were some delays in mailing, as the Newsletters were apparently sent by the local Post Office to San Francisco rather than being distributed directly. The lead article by City Manager Carl Cahill was popular. The Committee agreed that the Newsletter is an excellent production. The next Newsletter might feature an article on the completion of Adobe Creek reach five. Deadline for articles for the next newsletter is January 31, 2009. 6. Review of Westwind Barn Lighting Event Karen Emerzian and Ron Knapp reported on the December 7 Barn Lighting event. For $78.95 Ron purchased nine half-gallons of cider that were heated with Duffy Price’s coffee maker, as well as a case of Martinelli’s sparking cider, which was very popular. For $84.95 Karen Emerzian purchased five 2 cookie trays with 70 cookies each. All of the refreshments were consumed, as more families attended the event this year than last year. For future Barn Lighting events, it would be good to coordinate with the Barn Lighting event chair regarding expected attendance. 7. Caroling Event Ron Knapp will help with refreshments for the December 23 caroling event at Town Hall. He will provide hot cider and sparkling cider. Duffy Price will coordinate with Scott Vanderlip regarding whether or not other participants have been asked to bring cookies, and Ron will get cookies only if it seems necessary. 8. Initial Planning for 2009 Town Picnic Roy Woolsey noted that copies of the final 2008 picnic report were distributed to all committee members; these copies should be saved for review just prior to the 2009 picnic. The band for the 2009 Picnic was discussed. Duffy Price described the “Oktoberfest in June” band that played at a recent event. It was suggested that Lisa Kellman’s father’s band might be another candidate. Ron will look into bands and report at the next meeting. An entertainer was discussed, including one who uses a pirate ship as a prop; Ron will also look into the entertainer. It was suggested that there might be a photographer to take photos for distribution at the Picnic; Roger Burnell will see whom Supervisor Liz Kniss uses as a photographer. Roy led a discussion of the draft budget that he prepared. It was agreed that the total requested budget should be the same as the budget approved by Council last year. Roy will modify the proposal, and it will be discussed further in the next Committee meeting. Bob Mabe said he would be happy to organize a classic car show for the 2009 Picnic. 9. Additional Items or Contributions from Committee Members None. 10. Date for Next Meeting and Adjournment The next Committee meeting will be held at 7:30 PM on Tuesday, January 27, 2009, in the Parks and Recreation Center. The date of the February meeting may need to be changed. The meeting was adjourned at 8:30 PM, and then Committee members shared potluck refreshments.
