Roll Call The meeting was called to order at 7:35 PM by Chairman, Roy Woolsey. Present: Chairman, Roy Woolsey. Members, Duffy Price, Ron Knapp, Patty Woolsey, Roger Burnell, Karen Emerzian, Nick Osborne. Youth Commissioner, Ting Ting Liu. Associate Youth Commissioner, Lisa Kellman. Roy Woolsey announced that Colette Cranston had advised that she is not renewing her membership in the Committee. 2. Review of Prior Committee Meeting Minutes The minutes of the last Committee meeting were approved as distributed. 3. Welcoming of Town Newcomers Patty Woolsey reported that this is a slow time of the year for newcomers; in the past three months since the last Committee meeting, one sheet with 20 names of newcomers was delivered to Town Hall for mailing of the newcomer-welcoming letter. 4. Reports on Recent Events Duffy gave a brief report on the Will Sigua Little League field-naming event. Approximately 200 people attended the event, and Mayor Jones was outstanding as M.C. of the event. The Westwind Barn lighting event was not as well attended as last year, but was still an excellent event. Karen Emerzian purchased 304 cookies for $73.95; 210 were used and the remaining 94 were frozen for use at the caroling event. Barbara Waldeck bought eight half-gallons of spicy cider and six half-gallons of organic apple juice for $39.46; all were used but one half-gallon bottle, which was saved for the caroling event. In addition to cookies and cider from the barn lighting event, sparking cider was served at the caroling event. Ron Knapp purchased six bottles of Martinelli’s cider and cups for $22.63. A different caroling route was followed this year. Duffy Price cleaned the floor of the Parks and Recreation Center the next morning, because of the mud tracked in by the kids. 5. Agenda for Meeting with Mayor and Committee Chairs Roy Woolsey reported that each Committee chair has been asked to speak for a few minutes about the activities and issues concerned with the committee, at a meeting from 4:30 PM to 6 PM on Thursday, January 24. Roy will discuss the newcomer project, Jan 31 newsletter deadline, June 1 Town Picnic, and other Committee activities. Roger Burnell suggested Roy might structure his presentation in terms of the Committee’s response to its charges and duties as given in the Town Resolution on Standing Committees. 6. Los Altos Hills Town Newsletter Duffy Price discussed possible articles for the March Town Newsletter. She has already received lots of articles. There might be a recreation article, discussing cooperation between Los Altos and Los 2 Altos Hills. At least 23 local wineries are interested in the Westwind and Wineries event that will be featured in the newsletter. The December Newsletter was an excellent and letter-perfect publication; it included a separate Sigua insert. 7. Discussion of Town Website Roy Woolsey reported that the City Clerk indicated that all of the Committees initial suggestions on the new Town Website have been addressed, and that the business side of the website, including forms and department pages, is currently being updated. In response to the request from the City Clerk, Roy provided Nick Osborne’s e-mail address so that a meeting could be arranged. The Committee’s recent memo on the Town Website will hopefully be agendized for discussion at a Council meeting in February. 8. Initial Consideration of 2008 Town Picnic Roy Woolsey reported on his excellent conversation with Art Marshall of the Firefighter’s Union. The firefighters are delighted to put on another of their wonderful barbecues for us on Sunday afternoon, June 1, with the expectation that attendance will be about the same as last year. Roy will coordinate with Eric Christensen regarding making arrangements with the Little League. There was considerable discussion of the band and entertainment for the 2008 Town Picnic. Members of the committee indicated a preference for a Rock and Roll band. Lisa Kellman’s father is part of a band. Ron will draft a short article for the Town Crier to see if local bands would want to be “showcased” at the Picnic, and Duffy will see if the article can be inserted in the Town Crier soon. Ting Ting Liu will see if an article can be inserted in the Talon. Lisa recommended the name of Jay Alexander as an excellent magician, and Roger will try to contact him. The Committee agreed that the rental company should set up Sunday morning of the Picnic, and tear down Sunday evening, to avoid problems with theft or vandalism. The draft picnic proposal that Roy prepared was approved with the change of picnic time to end at 4 PM or 4:30 PM, and an increase of $200 for the beverage budget. Roy will submit the proposal to the City Clerk. Roy announced that Committee members should be thinking of what role they’d like to play in this year’s picnic, as an event chair and major subcommittee chairs should be selected next month. 9. Additional Items or Contributions from Committee Members Roger Burnell suggested that the Committee might want to consider some other special event, such as the Brigadoon theater party or the NASA Mars evening, and suggested that some event with/at Stanford might be good. This will be agendized for further discussion at the next Committee meeting. Duffy Price announced that Ethel Blank, the Exhibit Curator, passed away on January 5. It was suggested that a current roster of members of all Town committees and their contact information be distributed to Committee members. 10. Date for Next Meeting and Adjournment The next Committee meeting will be held at 7:30 PM on Tuesday, February 26, 2008, and the Committee agreed to continue meeting in the Parks and Recreation Center. The meeting was adjourned at 9:00 PM. Minutes prepared by Roy Woolsey, January 25, 2008
