Meeting Minutes
Tuesday, July 1, 2008
Parks and Recreation Center
1. Roll Call
The meeting was called to order at 7:30 PM by Chairman, Roy Woolsey. Present: Chairman,
Roy Woolsey. Members, Karen Emerzian, Patty Woolsey, Ron Knapp, Nick Osborne, Roger Burnell,
Duffy Price. Youth Commissioner, Ting Ting Liu. Hidden Villa Community Programs Manager, Marc
Sidel. Visitors, Tyler Hefner, Brian Woolsey.
2. Committee Organization
Roy Woolsey announced that there is one vacancy on the Committee and that the Committee
should select a new Committee Chair for the forthcoming twelve-month period. After some discussion, it
was agreed to continue the discussion of Committee Chair to the next Committee meeting
3. Review of Prior Committee Meeting Minutes
The minutes of the last Committee meeting were approved as distributed.
4. Welcoming of Town Newcomers
Patty Woolsey reported that a sheet of mailing labels would be delivered soon to Town Hall for
mailing of the newcomer welcoming letter.
5. Hidden Villa Summer Concert Series
Mark Sidel reviewed plans for the Hidden Villa Summer Concert Series. Since Hidden Villa is in
the county and not within Los Altos Hills Town Limits, the county has jurisdiction; because of complaints
of parking along Moody Road, the county requires a permit for the concerts, with attendance limited to
600 per event. Hidden Villa is issuing tickets for the concerts, and Marc has set aside 100 tickets for each
concert for sponsors and other VIPs. Committee members volunteered to help with receptions at the
Duveneck House from 4 PM to 5 PM before the concerts as follows: Nick and Anh Osborne, July 13, 20,
August 17; Duffy Price, July 20; Linda and Dan Seidel, July 13 and August 17.
6. Los Altos Hills Town Newsletter
The Committee reviewed the June Town Newsletter and agreed it is an excellent publication.
Duffy Price noted that perhaps the Newsletter would have a new and more vibrant format in 2009. The
September Newsletter may arrive in residents’ mailboxes around mid-September, because of Duffy’s
schedule. The lead article will likely cover Westwind Barn, and emphasize the positives in the Town
taking over management of the barn.
The Committee discussed a recent Civic Association publication, which suggested that the
Committee only invited other town committee members to picnics until the Civic Association initiated
Town wide mailings. The statement was simply wrong, as the entire Town was invited through an article
and flier in the Newsletter even to the first picnic, which did not feature a barbecue. The Committee was
quite offended by the suggestion that not all Town residents would be invited to any event organized by
the Committee.

7. Review of 2008 Town Picnic
The committee discussed the June 1 Town Picnic. Attendance was down around forty-five
residents from last year, but more food had been ordered from the Fire Department than last year, and it
was all consumed by just after the 3:30 PM posted time for the end of food service. There was left over
ice cream, but not enough toppings for the sundaes.
Roger Burnell wrote a detailed e-mail report, which will be incorporated into the picnic report.
The inflatable games vendor made some game substitutions. Two cans of line paint are necessary to mark
canopy locations and make the volleyball court. The Touch-N-Go band used about twice the electrical
power as last year’s band, and circuit breakers shut down the electrical supply until arrangements were
made to plug into different circuits. Some thought the band was too loud to have conversation.
The Committee discussed whether one overall volunteer coordinator should call all volunteers or
whether the subcommittee chairs should each call their own volunteers. Most, but not all, members felt it
was better for the subcommittee chairs to call their own volunteers.
The Committee agreed that Bill Downey and Bob Mabe did a superb job with the classic car
show, and they should be treated as special volunteers and invited to the annual volunteer recognition
dinner. (In a subsequent communication between Roy Woolsey and City Clerk Karen Jost, it was agreed
that Bill and Bob should be invited to be associate members of the Committee.)
The Committee recommends a similar Town Picnic for 2009. Members will look at their
calendars, and see whether May 31, 2009 or June 7, 2009 would be a preferable date for the Picnic. A
decision on the date will be made in the next Committee meeting.
8. Additional Items or Contributions from Committee Members
None.
9. Date for Next Meeting and Adjournment
The next Committee meeting will be held at 7:30 PM on Tuesday, September 23, 2008, in the
Parks and Recreation Center. Meetings on the regular meeting dates in July and August are cancelled.
The meeting was adjourned at 8:45 PM.
