Roll Call The meeting was called to order at 7:30 PM by Chairman, Roy Woolsey. Present: Chairman, Roy Woolsey. Members, Ron Knapp, Patty Woolsey, Barbara Waldeck, Duffy Price, Karen Emerzian, Roger Burnell. Youth Commissioner, Ting Ting Liu. Associate Youth Commissioner, Lisa Kellman. Council Liaison, Dean Warshawsky. 2. Committee Organization - Council Liaison Roy Woolsey announced that Dean Warshawsky is the new Council Liaison to the Committee. 3. Review of Prior Committee Meeting Minutes The minutes of the last Committee meeting were approved as distributed. 4. Welcoming of Town Newcomers Patty Woolsey reported that since the last Committee meeting, two sheets of mailing labels, containing a total of 40 names, were given to Town Hall for mailing of the newcomer welcoming letter. 5. Report on Recent Events Roy Woolsey reported that all six dozen cookies and 5 1/2 gallons of hot cider (total cost: $69.07) were consumed at the Westwind Barn lighting event on December 3, 2006. In future such events, more cookies should be provided. Approximately 35 people attended the Caroling event on December 19, 2006. Three bottles of sparkling cider, about 1/2 gallon of hot cider, a pot of glog, and some cookies were consumed, at a total cost reimbursed by the Town of $51.11. Cookies were also provided by the Girl Scouts, and a number of the homes where the group caroled also provided refreshments. 6. Report on Presentation by Committee Chair to County Board of Education Roy Woolsey presented the statement that was approved at the last Committee meeting to the County Board of Education. Roger Burnell, John Swan and Linda Swan also made presentations. 7. Los Altos Hills Town Newsletter The Committee reviewed the December 2006 Town Newsletter, and felt it was an excellent production. Duffy Price led a discussion of the proposed "know your neighbor" article for the March newsletter. The Committee agreed that a profile of the City Clerk would be included in the next Newsletter. Roy Woolsey will write a Town Picnic article, as this will be the last issue before the Picnic. 8. Review of Memo from Committee Chair to Council Roy Woolsey discussed the memo to Council he prepared on the basis of the discussion in the last Committee meeting; the memo discusses past accomplishments of the Committee and various possible future tasks to help accomplish its charges and duties. It was moved by Duffy Price, seconded by Karen Emerzian and passed unanimously that the memo be approved. The memo is tentatively scheduled for discussion in the February 22 Council meeting. 9. Review of Hidden Villa Request for Sponsorship of Summer Concert Series The Committee reviewed the request from Hidden Villa that the Town be the lead sponsor of the concert series this summer. The Committee concluded that last year it was appropriate for the Town to be a major sponsor and help kick off the concert series, but after the success last year, the series should be 2 more self-sufficient this year. Therefore, it was moved by Barbara Waldeck, seconded by Duffy Price and passed unanimously that Committee recommend to Council that the Town sponsor the event to the extent of $2,500, and that this request be considered along with other charitable and community service organization donations the Town may make this year. Committee members might be able to help serve refreshments as was done at the first concert last summer. 10. Discussion of Town Website Barbara Waldeck gave Nick Osborne’s report from the website subcommittee, and distributed copies of a proposed site map for the website. Roy Woolsey reported on his conversation with City Clerk Karen Jost, that Town Staff is currently addressing administrative needs such as getting forms on line, including emergency contact information, etc., and that after this effort is complete, in the March time frame, Staff would like to meet with the Committee to discuss further enhancements. Duffy Price reported that she saw a preview of the new website earlier in the day, and it is much faster to access. It was agreed that Committee members would look at Hillsborough, Los Gatos and Saratoga websites done by the same company and report their likes and dislikes and observations of what is missing to the website subcommittee (Nick Osborne, Barbara Waldeck, Roger Burnell, Ting Ting Liu) which would compile these comments for further discussion in the next Committee meeting. 11. Initial Consideration of 2007 Town Picnic Roy Woolsey reported on his conversation with Art Marshall of the Fire Department, that the Fire Department is delighted to do another barbecue for us on June 3, 2007. Roy also reported that the Little League has been told not to use any of the fields on June 3, and not to use Field 2 after 4 PM the day before. The Committee reconfirmed its decision to have the Daddios band at the picnic, and Ron Knapp will make contractual arrangements and inquire as to the size and height of a stage the band would like. Roy will write a tactful e-mail to Jerry Rosenblum of Ye Olde Towne Band stating that the Committee likes to rotate attractions at the picnic for diversity and it is unusual to have the same band for three years in a row, so the Committee would like to use another band this year, and contact Ye Olde Towne Band about returning to the Town Picnic again in the future. Roger Burnell has arranged for David Wilson to be the magician at the picnic, and will arrange for the inflatable games and other entertainment from the same vendor as last year. Roger noted the price might increase somewhat from last year. Roy will arrange for the Lionel trains, and contact the Parks and Recreation Committee regarding providing pony rides. Dean Warshawsky suggested there could be a show of antique cars. The Committee approved the picnic proposal and budget as distributed; Roy will see if it can be considered by Council on February 22. 12. Additional Items or Contributions from Committee Members Duffy Price discussed her recent correspondence regarding historical preservation, and the need for a new Town historian or historical commission. After some discussion, it was decided that the Committee should try to recruit volunteer(s) and submit name(s) to Council. Duffy briefed Ting Ting Liu and Lisa Kellman on the presentation of colors. Dean Warshawsky noted his conversation with the Mayor of Palo Alto regarding a regional bike outing; it was agreed the event would be publicized in the March Town Newsletter. 13. Date for Next Meeting The next Committee meeting will be held at 7:30 PM on Tuesday, February 27, 2007. 14.
