Meeting Minutes
Tuesday, July 10, 2007
Council Chambers
1. Roll Call
The meeting was called to order at 7:33 PM by Chairman, Roy Woolsey. Present: Chairman,
Roy Woolsey. Members, Ron Knapp, Patty Woolsey, Barbara Waldeck, Roger Burnell. Associate Youth
Commissioner Lisa Kellman. Visitor, Marc Sidel (for item 4).
2. Review of Prior Committee Meeting Minutes
The minutes of the last Committee meeting were approved as distributed, with the correction
noted by Duffy Price that the words “in Viet Nam” should be added just before the comma in the last
sentence of item 8, so it now reads “...for the other Town veteran killed in action in Viet Nam, ...”
3. Welcoming of Town Newcomers
Patty Woolsey reported that since the last Committee meeting two sheets of 20 names of
newcomers was delivered to Town Hall for mailing of the newcomer-welcoming letter, one sheet in early
June and one in early July.
4. Hidden Villa Summer Concert Series
Marc Sidel reported on final plans for the Hidden Villa Summer Concert Series. Marc requested
two volunteers per reception to help serve refreshments. Committee members volunteered as follows:
July 15 and July 22, Nick and Anh Osborne; August 5, Barbara and Gary Waldeck; August 19, Duffy
Price and Nick Osborne. Roy Woolsey reported that Eric Christensen and/or members of the LAH Parks
and Recreation Committee plan to staff a table at each concert. The Committee did not see a reason to
participate in the table.
5. Los Altos Hills Town Newsletter
Roy Woolsey reported on Duffy Price’s suggestions for items for the September Town
Newsletter: picnic photos, dish fire photos, Hetch Hetchy water article, information on public hearing for
sewer rate increase, recreation development article, and barn restoration update. Roger Burnell suggested
continuation of the “meet your neighbor” series, and offered to help with the next interview.
6. Discussion of Town Website
The Committee briefly discussed the Town Website. It was suggested that it is good to have a
home page that allows access to all pages. The Committee is ready to meet with Town Staff regarding its
suggestions for the website, and the Committee hopes the Town is interested in the Committee input.
7. Review of 2007 Town Picnic
The Committee discussed the 2007 Town Picnic at length. It was suggested that the Committee
might meet with Council to discuss future direction of the Picnic, but the consensus of the Committee was
that the Committee should recommend a similar picnic be held next year, perhaps on June 1, 2008. The

Committee appreciates Town Hall accepting and compiling a spreadsheet of reservations, but the
Committee agreed that Town Hall should NOT attempt to sort the list alphabetically because of errors that
can be introduced if the sort is not done correctly; it is also useful for the Committee to have a
chronological list of reservations. Either the registration canopy needs to be set up earlier, or the long list
of items to be done to get ready for the picnic needs to be better divided among those helping with set-up,
as this year there was barely time to set up before residents started arriving for the Picnic.
The beverage volunteers experienced a shortage of ice this year, as ice cream volunteers used
some of the ice procured for beverages. Enough ice should be provided in the future for both beverages
and ice cream. Beverage volunteers were swamped, but it is better to hand out beverages that let people
take their own. Provision was made for two meal ticket volunteers per shift, but the fire department set
up three food lines. The Committee reached a consensus that volunteer shifts should be 45 minutes rather
than half an hour, and future fliers should be modified accordingly.
The Committee discussed “thank yous” for the event, including the matter of precedents that
might be set for the future. Nevertheless, Roger Burnell moved, Barbara Waldeck seconded and it was
passed unanimously that Bill Downey and Bob Mabe should be awarded certificates of appreciation for
their most successful classic car show at the Picnic. It was suggested that perhaps the Committee needed
one of its members to serve as a clerk to see that decisions of the Committee are implemented.
Roy Woolsey will compile a draft picnic report based on the Committee discussion, and the
report will be reviewed in the next Committee meeting.
8. Resolution on Town Standing Committees
Roy Woolsey reported that Council plans to consider an amendment to the Town resolution on
Standing Committees, to include the historical commission and to provide for a Committee member to
serve as chair for more than two consecutive one-year terms when no other Committee member is willing
to serve as chair. Roy announced that in the next regular meeting, the Committee should choose officers
for the next twelve months, and Roy requested that another member consider serving as chair for the
forthcoming year.
9. Additional Items or Contributions from Committee Members
Roy Woolsey encouraged Committee members to attend the Mayor’s reception at Town Hall on
July 12 at 7:30 PM. All Committee members should have received an invitation.
10. Date for Next Meeting and Adjournment
The next Committee meeting will be held at 7:30 PM on Tuesday, September 25. The meeting
was adjourned at 8:33 PM.
