Roll Call The meeting was called to order at 7:30 PM by Chairman, Roy Woolsey. Present: Chairman, Roy Woolsey. Members, Ron Knapp, Patty Woolsey, Duffy Price, Nick Osborne, Roger Burnell. Visitor, Marc Sidel (for item 7). 2. Review of Prior Committee Meeting Minutes The minutes of the last Committee meeting were approved as distributed. 3. Report on Council Action on Town Standing Committees Resolution Duffy Price, Roger Burnell and Roy Woolsey had listened to the video of the portion of the July 26, 2007 Council meeting where the Town Resolution on Standing Committees was discussed and amended, and they reported on the discussion. The Council approved a change to allow a committee member to serve more than two consecutive one-year terms as chair, with Council approval, but it was clear from Council discussion that there was some reluctance to approve the change. The Council approved the Historical Committee, with the requirement that nothing in the committee goals requires the mandatory preservation of private residences or committee review of site development plans. 4. Committee Organization After considerable and lengthy discussion of Committee chair, Roy Woolsey was selected as committee chair for the current fiscal year by consensus. No other name remained in nomination, but another Committee member may be willing to serve as chair next year. The Committee has one vacancy, and should recruit a Town resident to fill that vacancy. 5. Report on Meeting with Mayor and Other Committee Chairs Roy Woolsey reported on the two-hour long meeting with the Mayor and committee chairs. Each committee representative introduced him/herself and spoke of that committee’s charges and duties. Then the Mayor discussed Town goals. There was not enough time to discuss the agenda items of committee priorities and better Council/committee communications; those items will be discussed in a future meeting. 6. Welcoming of Town Newcomers Patty Woolsey reported that since the last Committee meeting, two sheets, each of 20 names, of newcomers were delivered to Town Hall for mailing of the newcomer-welcoming letter, one sheet in early August and one in early September. 7. Report on Hidden Villa Summer Concert Series Marc Sidel of Hidden Villa thanked the Committee for its support of the summer concerts. A total of 2,800 people attended the concerts, about 25% from the Town. While the Duveneck House was a nice 2 venue for the receptions, attendance was lower than for the reception held at the concert site. The eight publicity signs in Town provided good advertising for the concerts. Marc said that parking at Foothill College with shuttles to Hidden Villa would cost $2500 for two shuttles for each of four concerts. Ron Knapp offered suggestions for bands for next year, and Marc said booking would start next January. 8. Los Altos Hills Town Newsletter The September Town Newsletter was a beautiful, informative production. Duffy reported she received good reviews. The December Newsletter may feature articles on the strategic planning meeting and progress on the pilot undergrounding project. 9. Discussion of Town Website Nick Osborne expressed concern that the Town’s desire to meet with the Committee at the end of October night be too late; that the Committee should be involved in the development of the website. It was agreed that Ron Knapp would write a draft of a cover e-mail to be sent to Town Hall with the already- prepared summary of the Committee’s work to date. 10. Review of 2007 Town Picnic The Committee reviewed the draft Picnic report that Roy Woolsey assembled, and made a number of comments which Roy will incorporate into a revised draft for review in the next Committee meeting. Ron Knapp provided a list of beverage for inclusion in the report, and will update his portion of the report to list equipment used for the beverages. Duffy Price reported on the award of certificates of appreciation to Bill Downey and Bob Mabe. It was suggested that the Parks and Recreation committee and department may want to pay a greater role in future picnics. 11. Holiday Caroling Event - Tuesday December 18, 2007 Roy Woolsey reported on Scott Vanderlip’s proposal to have a holiday caroling event on Tuesday, December 18, 2007. Ron Knapp and Duffy Price indicated an interest in helping with refreshments. 12. Additional Items or Contributions from Committee Members It was agreed that Presentation of Colors at Council meetings should be cancelled because Council seems to have closed sessions at the beginning of every Council meeting. After some discussion of certificates of appreciation, it was moved by Roger Burnell, seconded by Duffy Price and passed unanimously to recommend that certificates of appreciation be awarded to former Youth Commissioners Wei Wei Liu and Rachel Kellman, if they have not already received them. Roger Burnell announced that the volunteer service awards luncheon would be Friday, December 7, and that Committee members should be considering who might be nominated for an award. Duffy Price discussed the proposed March, 2008 Westwind and Wineries fundraising event, which will be open to up to 300 people, on a first come, first served basis. 13. Date for Next Meeting and Adjournment The next Committee meeting will be held at 7:30 PM on Tuesday, October 30 -- a special meeting on the fifth Tuesday of October.
