Meeting Minutes
Tuesday, June 27, 2006
Council Chambers
1. Roll Call
The meeting was called to order at 7:35 PM by Chairman, Roy Woolsey. Present: Chairman,
Roy Woolsey. Members, Ron Knapp, Patty Woolsey, Barbara Waldeck, Roger Burnell, Karen Emerzian.
Hidden Villa Director of Development and Marketing, Diane Hunt, and Community Programs Manager,
Marc Sidel (for item 4). Visitor, Gary Waldeck.
Roy Woolsey announced that there is still one vacancy on the Committee, and that City Clerk
plans to advertise the opening. Ron Knapp said a neighbor might be interested.
2. Review of Prior Committee Meeting Minutes
The minutes of the last Committee meeting were approved as distributed.
3. Welcoming of Town Newcomers
Patty Woolsey reported that not enough newcomer names were received last month to produce a
sheet of mailing labels for the newcomer welcoming letter.
4. Hidden Villa Summer Concert Series
Diane Hunt and Marc Sidel briefed the Committee on plans for the Hidden Villa Summer Concert
Series and thanked the Committee for the $5,000 sponsorship by the Town. They displayed a large
banner and requested permission for several of them to be displayed around Town. Roy Woolsey will
make that request of the City Manager. A wine and cheese reception is planned for the kickoff concert on
July 16, and Ron Knapp, Barbara and Gary Waldeck, Karen and Harry Emerzian and Roger Burnell
volunteered to help serve wine and should arrive at 4:15 PM before the event to help with set up. There
will be a free raffle, to get the names and addresses of those who attend. Ron Knapp will bring a box of a
dozen of the anniversary glassware, which can be included in the raffle. Diane Hunt is having advertising
postcards prepared, and 100 of them should be left at the Town Hall front desk.
5. Review of 2006 Town Picnic
The draft Town Picnic report was discussed. Roy Woolsey reported on his meeting with the City
Manager and Parks and Recreation Director. Several recommendations for future picnics were discussed
and will be included in the final report. Actual expenses of about $19,000 including the anniversary
glassware were significantly under the $20,500 budget.
The Committee agreed that remaining anniversary glassware should be made available to
residents for a modest donation, such as $2 or $3 per cup. It was agreed that an article should be placed in
the September Town Newsletter noting the availability of the glassware, as well as anniversary videos, at
Town Hall, and that such an article should acknowledge suppliers and donors for both the Picnic and the
Anniversary Gala. Roger Burnell will write a paragraph on the Gala and Ron Knapp a paragraph on the
picnic. Ron suggested that photos of the Picnic be placed on the Town website.
Roger Burnell discussed the games and noted that the dunking booth had the longest line. Towels
were donated and some residents had swimming suits in anticipation of the dunking booth. The location

of the obstacle course needs to be reviewed for next year, because the sound from its generator or
compressor was so loud as to make conversation at the registration table difficult. The Committee agreed
that the magician was very good. Roger noted that 49 of the volunteer pins were given out at the Town
Picnic. Roy Woolsey will coordinate with the City Clerk to see that a thank you note is sent to the Fire
Department, referencing the plaques previously given.
6. Fiftieth Anniversary Dinner Event
Roger Burnell plans to meet with Administrative Services Director Sarah Ragsdale at Town Hall
to discuss income from the Anniversary Gala. Roger believes that some of the missing donations may
have been mis-categorized as event admissions. Roger plans to finalize the financial report on the event
and then submit it to Council for approval on the consent calendar.
7. Presentation of Colors; Pledge of Allegiance at Council Meetings
Roy Woolsey summarized the inaugural presentation of colors and leading of the pledge of
allegiance by the Scouts. Five Scouts were present, and conducted a nice ceremony that lasted about
three minutes. Instructions were read by one Scout to the others, without use of a microphone, and the
instructions could not easily be heard. The presentation of certificates to the Scouts seemed a bit
awkward, with the Mayor leaning over the dais to present certificates and not having a hand to shake
hands with the Scouts. These details will surely be resolved in future meetings.
8. Los Altos Hills Town Newsletter
The Committee briefly reviewed the June Town Newsletter, and agreed it was fabulous as
always.
9. Additional Items or Contributions from Committee Members
Roger Burnell reported on the June 13 Town Hall public education event with Dr. Dennis Littky.
Approximately 35 people attended the interesting evening. Roy Woolsey approved Roger’s refreshment
receipts for reimbursement.
10. Date for Next Meeting and Adjournment
The next Committee meetings will be held at 7:30 PM on Tuesday, September 26. The
Committee does not plan to meet in July or August. Roger Burnell suggested the Committee meet before
the Volunteer Recognition Dinner that may occur sometime in October, in order to plan a brief program
to wrap up the Town’s 50th anniversary celebration. The meeting was adjourned at 8:55 PM.
