Community Relations Committee
Meeting Minutes
Tuesday, February 21, 2005
Council Chambers
1. Roll Call
The meeting was called to order at 7:30 PM by Chairman, Roy Woolsey. Present: Chairman,
Roy Woolsey. Members, Ron Knapp, Patty Woolsey, Barbara Waldeck, Roger Burnell, Duffy Price.
Associate Member, Dan Alexander. Youth Commissioner, Rachel Kellman. Council Liaison, Jean
Mordo. Collette Cranston has notified the City Clerk that she would like to be an associate member
rather than a full member of the Committee, so the Committee currently has one vacancy.
2. Review of Prior Committee Meeting Minutes
The minutes of the last Committee meeting were approved as distributed.
3. Welcoming of Town Newcomers
Patty Woolsey reported that one sheet of 20 mailing labels was provided to Town Hall for
mailing of the newcomer welcoming letter.
4. Report on Council Action Regarding Town Charitable Donations
Ron Knapp reported on Council action regarding the Committee’s recommendations on Town
charitable donations; the Council agreed that the current procedure is flawed, set aside a fixed amount
($50,000) for donations, and directed that staff not write letters to charities asking for donation requests.
After further Committee discussion, it was moved by Barbara Lamparter, seconded by Patty Woolsey and
passed to table this matter.
5. Recommendation for Town Hall Mixers
This item was continued to the next Committee meeting, at which time an updated proposal
should be available for Committee consideration.
6. Decision regarding Summer Theater Event; Hidden Villa Summer Concert Series
Roy Woolsey reported on his communications with Councilmember Dean Warshawsky and with
Diane Hunt of Hidden Villa regarding Hidden Villa’s summer concert series. Once dates and programs
for the Hidden Villa concerts are available, and after it is determined what performance Foothill College
will be doing this summer, the Committee can consider supporting these events. Hidden Villa and the
Committee agreed that Hidden Villa does not have the capacity to be the venue for the Town Picnic.
7. Report on Fiftieth Anniversary Dinner Event
Roger Burnell summarized the event, and thanked Committee members for their incredible effort,
teamwork, unparalleled loyalty and many countless individual contributions of ideas, time and actions.
Roger noted that the Los Altos Country Club facility is not easily conducive to going over 250 attendees
and keeping people together with seating equality; approximately 300 attended the event, and the
Committee did accomplish the objective of accommodating all reservations. Roger said that Rick Herns

Productions probably should not have been given free run for the skit without a preview, and that the
dessert arrangements and coffee service were not adequately publicized by the Club. Roger expressed
appreciation to the Youth Commissioner and Associate Youth Commissioner and the fine help they
obtained for the event. Final expenses should be available for review in the next Committee meeting.
8. Initial Planning for Town Picnic
Roy Woolsey reported on arrangements with the Little League and the Fire Department for the
Town Picnic. The Committee discussed entertainment at the picnic, and agreed that Ye Olde Towne
Band of Los Altos should be invited to the picnic again this year; Roy will coordinate with the band.
Roger Burnell reported that the same vendor as last year has been scheduled for the games this year, and
the Committee approved an expenditure of $1,000 for the games. The Committee agreed that the Lionel
Train Association should be invited to the picnic again this year. Ron Knapp showed a number of sample
mugs and glasses that might be imprinted with the LAH fiftieth anniversary logo and given to all
attendees; Ron will obtain pricing information and report to the Committee in the next meeting. The
Committee agreed that any program at the picnic should be short; there should not be long speeches
regarding the anniversary. Jean Mordo suggested an “ethnic” canopy with a theme of cultural diversity.
The draft proposal prepared by Roy Woolsey was reviewed; it will be considered again next month, after
more budget information is available. Roy will discuss with the City Manager the possibility of the Parks
and Recreation Director helping with the picnic. The memo to other committee chairs regarding the picnic
that Roy prepared was approved for distribution. Duffy Price agreed to procure date inserts for the five
picnic banners; Roy will provide size information and text to Duffy.
9. Los Altos Hills Town Newsletter
The Town Newsletter was to go to the mailing company within a day or so of the Committee
meeting. The Committee briefly reviewed proof copies of the Newsletter.
10. Youth Presentation of Colors/Pledge of Allegiance at Council Meetings
The Committee discussed the proposal drafted by Duffy Price, and agreed that youth presentation
of colors and leading the pledge of allegiance at Council meetings was a good idea, but that finding
enough youth volunteers to support the activity could be a problem. Perhaps the presentation of colors
should be done once a month rather than at every council meeting. Rachel Kellman agreed to be
coordinator, and will contact a couple of schools to determine level of interest. Jean Mordo will discuss
the concept with Council. The matter will be considered further in the next Committee meeting.
11. Additional Items or Contributions from Committee Members
Given that both the Public Education Committee and Fire Commission meet on the third Tuesday
of the month, the Community Relations Committee should perhaps look for an alternate regular meeting
date. Roy Woolsey will discuss the matter with the City Clerk, and alternate dates will be considered in
the next Committee meeting.
12. Date for Next Meeting and Adjournment
The next regular Committee meeting will be held at 7:30 PM on March 21. The meeting was
adjourned at 9:10 PM.
