Roll Call The meeting was called to order at 7:30 PM by Chairman, Roy Woolsey. Present: Chairman, Roy Woolsey. Members, Ron Knapp, Patty Woolsey, Duffy Price, Karen Emerzian, Barbara Waldeck, Roger Burnell. Associate Member, Linda Seidel. Youth Commissioner, Rachel Kellman. Associate Youth Commissioner, Ting Ting Liu. Council Liaison, Jean Mordo. 2. Review of Prior Committee Meeting Minutes The minutes of the last Committee meeting were approved, with the correction of item 4 to read as follows: Barbara Waldeck, Barbara Mordo and Linda Seidel baked many cookies and served them along with 18 gallons of delicious, spicy cider at the December 4th Westwind Barn lighting event. 3. Welcoming of Town Newcomers Patty Woolsey reported that very few newcomer names were received since the last Committee meeting, so a sheet of mailing labels for the newcomer welcoming letter will be prepared next month. 4. Recommendations for Town Charitable Donations Ron Knapp led a discussion of Town charitable donations, including his draft recommendation that the Town should not make charitable donations. It was suggested that the two key issues regarding this matter were the fact that the donations are now done essentially automatically, and that Town donations using tax funds are not appropriate. It was agreed that the “background” section from the previous draft would be combined with the current draft, so that both issues are addressed, and the revised draft would be forwarded to Town Hall for consideration by the City Council. 5. Report on Non-Resident Volunteer Appointment Situation Roy Woolsey reported that the nonresident who had been appointed to the Pathways Committee said to Council that she would soon become a resident; therefore this matter is no longer an issue. 6. Recommendation for Town Hall Mixers Duffy Price led a discussion of John Swan’s proposal. After discussion of venue (resident’s homes vs. Town Hall) and sponsorship (Hills2000, Civic Association, as well as John Swan’s group), it was agreed that Duffy and John should revise the proposal to include comments on sponsorship, and that the revised proposal would be considered at the next Committee meeting. 7. Youth Presentation of Colors/Pledge of Allegiance at Council Meetings Duffy described the youth presentation of colors and pledge of Allegiance at the Los Altos City Council meetings. Boy Scouts as well as school students could perform this function. The Committee approved the concept, and Duffy will work with Youth Commissioner Rachel Kellman to draft a proposal. 2 8. Planning for Fiftieth Anniversary Dinner Event To date there are 271 reservations for the January 27th dinner dance Gala in celebration of the Town’s fiftieth anniversary. Event Chair Roger Burnell led a detailed discussion of the event, including plans for décor, greeting of arriving residents by youths, registration tables with nametags, display of historical panels, jazz duo, harpist, bar and appetizer service, room layout and seating arrangement, printed program, donations and acknowledgements thereof in program, flowers and plans for distributing them at the end of the evening, Bullis Charter School student participation in program singing about Los Altos Hills to the tune of the Sound of Music, Rick Herns production skit about topics in Town, trivia quiz with prizes for winners, selection of music for the evening, and handing out of video DVDs by youths as residents leave. Action items include the following: • Duffy Price will investigate lighting for the historical panels. • Jean Mordo will purchase nametag stock and mounts, and print nametags. • Linda Seidel, Barbara Waldeck and Patty Woolsey will meet at Cathie Perga’s on Thursday to prepare flower arrangements. • Committee members should meet at the Los Altos Country Club around 3 PM on the day of the event for distribution of flower arrangements and other set up. Then Committee members should try to return, ready for the party, by 5:30 PM or so for any final set up. Roy Woolsey reported that Town Staff apparently feel that they are not invited to the party. The Committee had not discussed Staff invitations in past meetings, assuming that Staff would know that they are invited to the Gala, just as Staff are invited to the Town Picnic and other such events. Rather, the Committee had discussed requests from out of town groups such as the Town Crier and Los Altos Community Foundation, and had agreed that non-residents would be given lower priority than residents. Apparently Town Staff interpreted this situation to mean that Staff were not invited. It was moved Karen Emerzian, seconded by Duffy Price and passed unanimously to confirm that current Town Staff and the immediate past City Clerk and their spouses/significant others are invited to attend the January 27th dinner dance Gala at the price of $95 per person. Roy will speak with the City Manager regarding this matter. The Committee expressed its regret at this misunderstanding, and hopes that many Staff are able to attend. 9. Initial Planning for Town Picnic Roy Woolsey reported on his conversation with Art Marshall of the Fire Department, that the Department is delighted to put on another barbecue for the Town Picnic on Sunday afternoon June 4, 2006. Roy recommended the Committee make a decision on the band and other long lead items quickly. Some but not all Committee members expressed a desire for Ye Olde Towne Band to perform. It was agreed that this and other long lead items would be finalized in the next Committee meeting. Ron Knapp and Karen Emerzian will bring information on anniversary favors to the next Committee meeting. 10. Additional Items or Contributions from Committee Members None. 11.
