Town of Los Altos Hills
Community Relations Committee
Meeting Minutes
Monday, July 18, 2005
Council Chambers
1. Roll Call
The meeting was called to order at 7:35 PM by Chairman, Roy Woolsey. Present: Chairman,
Roy Woolsey. Members, Duffy Price, Patty Woolsey, Barbara Lamparter, Roger Burnell, Ron Knapp,
Colette Cranston, Karen Emerzian. Associate Member, Dan Alexander. Council Liaison, Jean Mordo.
2. Committee Organization
The Town resolution on Standing Committees requires the Committee to select its Chair annually
at the July meeting. Roy Woolsey was nominated to be Committee Chair for the forthcoming year.
There were no other nominations, and Roy was unanimously chosen to be Committee Chair. Roy
thanked Committee members for their support.
3. Review of Prior Committee Minutes
Minutes of the last meeting were approved as distributed.
4. Welcoming of Town Newcomers
Patty Woolsey reported that since the last Committee meeting one sheet of 20 mailing labels was
delivered to Town Hall for mailing of the newcomer welcoming letter.
5. Los Altos Hills Town Newsletter
Duffy Price reported that a memo soliciting articles for the next Town Newsletter went out,
including to the school districts. Duffy is getting prepared for the September Newsletter, and asked Patty
Woolsey to help coordinate production of the Newsletter with the printer, as Duffy will be out of town for
part of August. The size and publication schedule of the Newsletter was discussed, and the Committee
agreed that the Newsletter length should not exceed six pages with no more than one flier insert that could
be duplexed. Town staff is working on a safety brochure for inclusion in the next Newsletter.
6. Review of Town Picnic and New Town Hall Dedication
The Committee discussed the draft Picnic report that Roy Woolsey prepared. Several changes
were noted which Roy will incorporate into the report, so that the Committee should be able to approve
the report as final in its next meeting. The large number of no-shows was discussed, and Ron Knapp and
Dan Alexander volunteered to call a few residents who pre-registered for the picnic who may not have
attended. It was suggested that next year, RSVPs could be taken by e-mail. Roy noted that the picnic has
become large enough that Town Staff and Town Crew should handle several tasks, including negotiations
with the Garbage Company for trash/recycling receptacles, clearance of receptacles from the fields if
volunteers cannot be found to do this task, handling of reservations, placing and taking down picnic
banners, etc. This list should be part of the proposal for the picnic next year. Roy reported that at the last
Council meeting he discussed the problem of delays in paying vendors and reimbursing Committee
members for Picnic expenses. Just after the Council meeting, remaining checks were issued.
2
Duffy Price reported that total expenses for the New Town Hall Dedication event were $4,471,
including $2,465 to Chef Chu for the food, none of which was vegetarian. Duffy thanked Ron Knapp for
all of his help with refreshments, Mike O’Malley for bartending and providing his bar, Sandy Humphries
for providing decorative plants, and Ethel Blank for providing art. Duffy will see if a thank you note was
sent to the wine supplier. Duffy reported that $121,000 of donor wall donations has been received.
7. Brigadoon Event at Foothill College
Roger Burnell led a discussion of the Brigadoon event at Foothill College. A broadcast e-mail
from Hills2000 will publicize the event, and note a reservation deadline of July 25. If we pay the box
office for tickets sold so far, we may get some additional time for reservations. Roger will arrange with
the Los Altos Country Club for appetizers. We need to bring our own tables. Roger will look into the
possibility of a one-day liquor license for serving beer/wine. Ron Knapp has quite a few soft drinks left
over from the Picnic and Dedication events that could be served. Roger needs a volunteer to help with
each of beverages, food, and signs/directions. Roger, Dan Alexander and Patty and Roy Woolsey plan to
attend the event. Duffy Price can help with signs. All Committee members should talk up the event with
friends and neighbors.
8. Event Celebrating Fiftieth Anniversary of the Town
Roger Burnell reported on his presentation to Council. The Council agrees with the concept of a
dinner party on January 27, 2006, the 50th anniversary of the incorporation of the Town at a price of
around $75 per person; the 2006 Town Picnic should also have an anniversary theme. Roger has reserved
the night at the Los Altos Country Club. Roger is working with the Stanford Jazz Band to perform at the
event. The Committee agreed formal invitations should be sent to all residents, as well as past Mayors.
9. Public Education in Los Altos Hills
Roger Burnell reported on his mediation efforts. The Charter School and School district will not
come to terms, so the Charter School is working with the Town on a school site. Jean Mordo noted that
this school site issue might become a big controversy.
10. Status of Search for New Youth Commissioner
Roger Burnell has spoken with candidates for Youth Commissioner and Associate Youth
Commissioner. The Town will amend the Youth Commissioner resolution to allow associates.
11. Additional Items or Contributions from Committee Members
Duffy Price reported that Town staff is working on a calendar for the Town’s 50th anniversary.
Roger Burnell requested a report on the Relay for Life.
12. Date for Next Meeting and Adjournment
The next Committee meetings will be held at 7:30 PM on September 20, November 15 and
December 13, with no meeting in August. The meeting was adjourned at 9:35 PM.
