Community Relations Committee
Meeting Minutes
Tuesday, September 20, 2005
Council Chambers
1. Roll Call
The meeting was called to order at 7:30 PM by Chairman, Roy Woolsey. Present: Chairman,
Roy Woolsey. Members, Karen Emerzian, Ron Knapp, Patty Woolsey, Barbara Lamparter, Roger
Burnell. Associate Members, John Swan, Dan Alexander. Youth Commissioner, Rachel Kellman.
Associate Youth Commissioner, Ting Ting Liu. Council Liaison, Jean Mordo. Visitor, Paul Nyberg.
2. Review of Prior Committee Minutes
It was moved, seconded and passed unanimously to approve minutes of the last meeting as
distributed.
3. Welcoming of Town Newcomers
Patty Woolsey reported that since the last Committee meeting two sheets of mailing labels, with a
total of 40 newcomer names, were delivered to Town Hall for mailing of the newcomer welcoming letter.
4. Discussion of Special town Crier Issue for Fiftieth Anniversary
Paul Nyberg, publisher of the Los Altos Town Crier, described his plans for a special
commemorative issue of the Los Altos Town Crier, including a 48-page magazine insert that subscribers
could keep as a souvenir. The magazine would include lots of photos, some text, no advertising, and
might be organized topically rather than chronologically. The Town Crier staff will do much of the work,
but needs input from the Town. The magazine needs to be essentially complete by Christmas, to meet
publications schedules for inclusion in the January 25, 2006 Town Crier. Committee members expressed
appreciation to Paul for this effort, which should be coordinated with other Town history efforts discussed
under agenda item 6 below.
5. 2006 Town Calendar
Roy Woolsey noted that Town staff members are working on a 2006 calendar which would be
distributed to Town residents as part of the anniversary celebration. (Later this project was cancelled.)
6. Town History
Jean Mordo reported on the Ad Hoc History Committee, which is reviewing Town historical
archives and developing content for ten door-sized displays (both sides of five panels) that would be on
display in the lobby of Town Hall. Duffy Price, Barbara Lamparter and Karen Emerzian have been
involved with the Ad Hoc Committee. No one else on the Committee volunteered to help with the
Committee; Roy Woolsey will contact Committee members not present regarding the committee, and
both Roy and Jean will encourage Duffy Price to chair the committee and coordinate with the Town Crier.
Dan Alexander led a discussion of the need for: (1) a display and archive to preserve history of
the Town, (2) refurbishment of the farm equipment, and (3) a Historical Commission. An ad hoc
committee might be appropriate to handle the refurbishment, and Paul Nyberg indicated an interest in
participating. Dan Alexander volunteered to prepare a draft of the Committee recommendations relative
2
to Town Historian, Historical Commission, and preservation and display of documents and farm
equipment. The Committee recommendations would be agendized for discussion at a City Council
meeting.
7. Initial Planning for Fiftieth Anniversary Dinner Event – January 27, 2006
Roger Burnell led a discussion of planning for the fiftieth anniversary dinner dance party. Roger
distributed a spreadsheet summarizing budget alternatives. There was considerable discussion of
alternatives for music, including the advantages of a live band vs. music booth. Roger described the work
of a professional décor company such as Rick Herns Productions. Roy Woolsey distributed drafts of a
narrative for an event proposal and invitation. It was agreed that Roy would combine the drafts and
spreadsheet into a proposal, which would be agendized for discussion at a City Council meeting.
8. Review of Final 2005 Town Picnic Report
Dan Alexander, Ron Knapp and Roy Woolsey reported they had phoned some residents who had
signed up for the Town Picnic. Most attended and said they enjoyed the event; it may be that there were
less no shows that we thought, and that some people may have come to the picnic without checking in at
the registration canopy. The final picnic report was approved as distributed.
9. Review of Brigadoon Event
Discussion of this item was continued to the next Committee meeting.
10. Los Altos Hills Town Newsletter
The Committee briefly reviewed the September Newsletter, and agreed it was an excellent
production. No residents sent in reply cards from the June Newsletter.
11. Status of Youth Commissioner Position
Rachel Kellman and Ting Ting Liu were introduced to the Committee as Youth Commissioner
and Associate Youth Commissioner, respectively. They will provide e-mail addresses to Roy Woolsey.
12. Recommendations for Town Charitable Donations
Jean Mordo reviewed the process by which the Town gives about $50,000 annually to certain
charities. It was agreed that the Committee might review applications and make recommendations to
Council. Ron Knapp will gather information on recent donations for discussion at the next meeting.
13. Additional Items or Contributions from Committee Members
None.
14. Date for Next Meeting and Adjournment
The next Committee meeting will be held at 7:30 PM on November 15, with no meeting in
October. The meeting was adjourned at 10:12 PM.
