HomeMy WebLinkAboutAugust 17 1 Town of Los Altos Hills Community Relations Committee Meeting Minutes Tuesday, August 17, 2004 Bullis School Multipurpose Room 1. Roll Call The meeting was called to order at 7:35 PM by Chairman, Roy Woolsey. Present: Chairman, Roy Woolsey. Members, Patty Woolsey, Bill Kerns, Duffy Price, Karen Emerzian, Roger Burnell, Colette Cranston. Associate member, Linda Seidel. Youth Commissioner, Wei Wei Liu. Visitors, Ron Knapp, Evan Cranston. 2. Committee Organization Roy Woolsey was appointed Committee Chair, and expressed his appreciation to the Committee for the Committee’s continued support. Ron Knapp was introduced to the Committee; he is interested in becoming a member of the Committee. The Committee does not have a formal policy on Associate Members, and Roger Burnell offered to provide a sample policy from another organization, which the Committee will discuss at its next meeting. 3. Review of Prior Committee Minutes Minutes of the last meeting were approved as distributed. 4. Welcoming of Town Newcomers Patty Woolsey delivered 40 mailing labels to Town Hall since the last Committee meeting for mailing of the newcomer welcoming letter. The Town Website insert for the newcomer packet which Patty prepared will be discussed in the next meeting. Bill Kerns will see that the material on the planning process produced by Angelica Herrera is placed on the Town website. Patty will look at “other links” on the website to see what contact information present in the current Handbook Supplement is on the website and what is lacking, and then will coordinate with City Clerk Karen Jost regarding including any missing contact information on the website. 5. Los Altos Hills Town Newsletter Duffy Price distributed advance copies of the Town Newsletter for review. The Newsletter is eight pages, with inserts on the Town budget and donor wall. Duffy described the newsletter production process for the benefit of Ron Knapp. Donor wall workshops will be September 12 and 26 from 1 to 4 PM, and those interested should contact Duffy for appointments. 6. Approval of Youth Commissioner Resolution The updated Youth Commissioner resolution was approved by Council at its June 16 meeting. 7. Report on NASA Mars Evening Roger Burnell led a discussion of the NASA Mars event. Approximately 160 to 170 people enjoyed a technically very interesting evening. Refreshments were provided with the help of Colette 2 Cranston; expenses were $192.37. Roger suggested that the Committee should look for other special events for community participation. Events such as a SLAC tour, Cantor Art Center exhibit, etc. were mentioned. After some discussion, it was agreed that Committee members would think about possibilities for special events, and this matter would be discussed in the next meeting. 8. Report on New Town Hall Groundbreaking Wei Wei Liu and Duffy Price described the event. Approximately 90 residents attended, refreshments, including hot dogs barbecued by John Harpootlian, were served. Barbara Lamparter organized beverages, and Barbara Mordo provided chairs for some of the elderly in attendance. Expenses were $202.40. Duffy prepared a one-page memo reporting on the event in greater detail. 9. Review of 2004 Town Picnic Roy Woolsey wrote a thank you letter to the Boy Scouts. Roger Burnell prepared a nice thank you letter for the Fire Department which references the plaques presented to the Fire Department last year. Discussion of the draft picnic report distributed with the minutes was continued to the next meeting. 10. Newcomer Welcoming Reception The Committee prepared 325 invitations for mailing. The Committee agreed that the invitations should be mailed to arrive at residents’ homes on Saturday, September 11, three weeks before the event, and Roy Woolsey will arrange the invitations to be mailed accordingly. Roy reported that Barbara Lamparter will help with refreshments, and Karen Emerzian and Linda Seidel also volunteered to help with refreshments. Roy will coordinate with the Porters to arrange a meeting time with the Porters to review plans for the reception. Roger, Linda, Karen and Roy will try to attend that meeting. Karen will purchase nametags. Bill Kerns suggested reviewing the report from last year’s reception that he prepared, to get suggestions for this year’s event. 11. Consideration of Change of Permanent Committee Meeting Date Roy Woolsey reported that there are no extra rooms at the Bullis facility for meetings on the same night as other scheduled meetings. Duffy Price asked that the meeting date not be changed because of her Fire Commission meetings. This matter can be reviewed once the New Town Hall is finished. 12. Additional Items or Contributions from Committee Members Roger Burnell noted that part of our Committee charter is to help fill vacancies on other committees, and that there is a vacancy on the Volunteer Awards Committee. Committee members suggested a few names of individuals in Town who might be candidates, and Roger will contact them. Linda Seidel noted that Dan Seidel is running for Water Board again, and that there are several other candidates. 13. Date for Next Meeting and Adjournment The next Committee meeting will be held at 7:30 PM on Tuesday, September 21, 2004. The meeting was adjourned at 8:40 PM.
