Meeting Minutes
Tuesday, June 15, 2004
Bullis School Multipurpose Room
1. Roll Call
The meeting was called to order at 7:35 PM by Chairman, Roy Woolsey. Present: Chairman,
Roy Woolsey. Members, Barbara Lamparter, Patty Woolsey, Bill Kerns, Karen Emerzian, Roger Burnell,
Colette Cranston, Duffy Price (for items 8 and 11). Associate member, Dan Alexander. Council Liaison,
Bob Fenwick. Visitors, Marcia Trimble, Charlie Trimble.
2. Review of Prior Committee Minutes
Minutes of the last meeting were approved as distributed.
3. Welcoming of Town Newcomers
Patty Woolsey has 17 newcomer names for May, and will produce mailing labels for the
newcomer welcoming letter once names for June are received.
4. Information from Town Handbook to be Placed on Town Website
Bill Kerns will see that the material on the planning process produced by Angelica Herrera is
placed on the Town website. Patty Woolsey will prepare a one page announcement for the newcomer
packets which refers newcomers to the Town website; the Town Handbook will be declared obsolete and
not included in newcomer packets in the future.
5. Status of Youth Commissioner Resolution
The updated Youth Commissioner resolution was placed on the consent calendar of the June 16
Council meeting for approval by Council.
6. Review of 2004 Town Picnic
The consensus of the Committee was that this year’s Town Picnic was the best ever. 1187 meal
tickets were issued. Ye Olde Towne Band was excellent. The beer was much better than in past years,
and ran out about 3:15 PM. Some chili without meat should be offered by the Fire Department if
possible. It worked well to ask those who attended without reservations to show their driver’s license to
prove Los Altos Hills residency. The registration lists should have a bigger font, and can have phone
numbers, etc., deleted. Handicapped parking spaces were blocked off, but not marked on the day of the
picnic. Given the large attendance, one more canopy with additional tables and chairs might have been
nice. The Fire Department should be encouraged to start serving a few minutes before 1 PM to minimize
the buildup of a line at the food stations.
Roy will write a thank you letter to the Boy Scouts. Roger Burnell will handle thank yous to the
Fire Department. Duffy Price will provide a report on the ice cream and Colette Cranston will provide a
report on the games. The Committee agreed the next Town Picnic should be held on June 5, 2005.
7. Final Planning for NASA Mars Evening

Roger Burnell discussed the importance of personal contact to increase attendance to the NASA
Mars evening; Committee members should invite their friends and neighbors in Town. Victoria will be
encouraged to get e-mail addresses of those who RSVP, and those who RSVP will be reminded by phone
or e-mail. Roger will phone NASA with the final reservation count two days before the event. Karen
Emerzian will bring pens for nametags, and Roger will get more nametags. Barbara Lamparter will try to
get Mars Bars. (After the meeting, Roger took the lead on providing wine, soft drinks and munchies, with
the help of Colette Cranston.) Marcia Trimble made a presentation of the items she would like to sell at
the event, and the Committee agreed with her plans, given that this is a NASA event, not a Los Altos
Hills event.
8. Final Planning for New Town Hall Groundbreaking
Barbara Lamparter has five bottles of red wine left over from the picnic, which can be used at the
groundbreaking event; she will get soft drinks and more white wine. Mike O’Malley will have 50 hats for
those who attend. Wei Wei Liu and Duffy Price are coordinating the event.
9. Newcomer Welcoming Reception
The Porters will open Morgan Manor for a Newcomer Welcoming Reception on Sunday
afternoon, October 3. Roy Woolsey recommended the time be 3 PM to 5 PM, as it has been in past years
except last year when the host preferred 2 PM to 4 PM. Roy will confirm arrangements with the Porters.
Barbara Lamparter will handle the invitation, with help from Bill Kerns. It would be nice to have a
drawing of Morgan Manor as a background to the invitation. At the August Committee meeting, Barbara
will bring invitations, Roy will bring envelopes, stamps and mailing labels of newcomers for the past two
years, and the Committee will prepare the mailing of invitations.
10. Los Altos Hills Town Newsletter
The newsletter policy was approved by the City Council. The Committee reviewed the June
Newsletter, and felt it was excellent. The Committee remarked on the immense amount of time Duffy
Price puts into the Newsletter.
11. Consideration of Change of Permanent Committee meeting Date
Roy Woolsey reported that Council Chambers are available for our meeting the first and third
Wednesdays of the month. If the Committee changed its meeting date, the preference of the Committee is
for a Monday or another Tuesday. Roy will see if another room is available for the Committee meeting.
12. Additional Items or Contributions from Committee Members
None
13. Date for Next Meeting and Adjournment
The Committee agreed not to meet in July. The next Committee meeting will be held at 7:30 PM
on Tuesday, August 17, 2004. The meeting was adjourned at 9 PM.
