Community Relations Committee
Meeting Minutes
Tuesday, November 16, 2004
Bullis School Multipurpose Room
1. Roll Call
The meeting was called to order at 7:30 PM by Chairman, Roy Woolsey. Present: Chairman,
Roy Woolsey. Members, Karen Emerzian, Patty Woolsey, Ron Knapp, Barbara Lamparter. Associate
member, Dan Alexander. Youth Commissioner, Wei Wei Liu.
2. Committee Organization
Roy Woolsey reported that the Council initiated modifications to the resolution on Standing
Committees to include provisions on associate membership. This policy supercedes the effort
commenced in our last Committee meeting to establish a Committee policy for associate members. The
Standing Committee resolution modifications were discussed in the Council meeting on October 7, and
the updated policy is on the consent calendar for approval at the November 18 Council meeting. Roy
read the section on associate members to the Committee; it includes provisions that associate members
are appointed by the committee for a term of not to exceed four years, that they have non-voting
membership status, and are of assistance on an as-needed bases.
3. Review of Prior Committee Minutes
Minutes of the last meeting were approved as distributed.
4. Welcoming of Town Newcomers
Patty Woolsey delivered 20 mailing labels to Town Hall since the last Committee meeting for
mailing of the newcomer welcoming letter. Patty summarized the list of items in the newcomer packets
for the Committee. When supplies of the invitation to join town committees runs out, a new press run
should include the Public Education Committee. Barbara Lamparter knows a less expensive source of
invitation cards.
The Committee discussed and finalized the page which Patty prepared describing the Town
website insert for the newcomer packet; Patty will implement the few remaining changes and pass the
insert to City Clerk Karen Jost for inclusion in the newcomer packet. Patty will check that the material on
the planning process has been placed on the Town website. Dan Alexander wanted to be sure that the
Westwind Barn link was included on the website.
5. Los Altos Hills Town Newsletter
The Committee reviewed black and white proof copies of the December Town Newsletter.
6. Westwind Barn Home for the Holidays Event
Duffy Price will bring cider, a coffee urn to heat the cider, cups, a table and other supplies to
serve hot cider at the December 5, 2004 Westwind Barn Home for the Holidays event. Linda Swan will
help serve cider.
7. Caroling Event

Wei Wei Liu will coordinate with Scott Vanderlip and will arrange with Los Altos High School
for some musical accompaniment for the caroling event. Linda Seidel will bring some of her excellent
glog to the caroling. Duffy Price will bring her coffee urn and cider, and Roy and Patty Woolsey will
bring Barbara Lamparter’s coffee maker, so that plenty of hot cider will be available when everyone
comes in from caroling outdoors. Scott Vanderlip has arranged with the Brownie troop to provide
cookies.
8. Review of Newcomer Welcoming Reception
The Committee discussed the Newcomer Welcoming Reception. The venue was perfect, but the
event did not reach out to many true newcomers. The Committee discussed a draft report on the event,
and suggested certain modifications be made to the report; Roy Woolsey will make these modifications.
Rather than recommending that a reception be held next year, the Committee suggested taking the
position that it questions whether a reception should be held next year unless ways can be found to attract
more newcomers. Ron Knapp said he had not yet been reimbursed for his expenses for the event, and
there was some discussion about the length of time required for some reimbursements; Roy will look into
the matter.
9. New Town Hall Time Capsule
The Committee continued discussion of this item to the next Committee meeting.
10. Other/Special Events Which the Committee Might Organize
Roy Woolsey read a list of suggestions from Roger Burnell for other or special events which the
Committee might organize, including a museum visit, sister city program, group tickets for a sporting
event, lecture series or cruise tour, etc. Dan Alexander discussed his memo regarding a visit to the Cliff
House. The Committee thought that an event within Town might be good, and focused on Foothill
College. Perhaps an open tour of Foothill College could be arranged, or a visit of the U.S.G.S to Foothill
College.
11. Additional Items or Contributions from Committee Members
The Open Space Committee will have the dedication of the bench in memory of Richard
Lamparter which overlooks Byrne Preserve on November 26. Barbara Lamparter will be unavailable to
attend the next Town Picnic on June 5, 2005.
10. Date for Next Meeting and Adjournment
The Committee will not meet in December. The next Committee meeting will be held at 7:30 PM
on Tuesday, January 18, 2005. The meeting was adjourned at 8:30 PM.
