CALL TO ORDER: Mayor Casey called the Special Meeting of the City Council to order at 9:05 a.m. Present: Mayor Casey and Councilmembers Cheng,Fenwick, Finn and O'Malley Absent: None Staff: City Manager Maureen Cassingham, Public Works Manager Jim Rasp and City Clerk Pat Dowd • 2. INTERVIEWS WITH ARCHITECTURAL FIRMS FOR TOWN HALL PROJECT Council interviewed representatives from the following architecture firms: BSA Architects, CJW Architecture and Mock/Wallace Architects. BSA and Mock/Wallace were located in San Francisco. CJW Architecture had its offices in Portola Valley. The firms had submitted proposals for the preliminary site plan, floor plan and construction cost estimates for a new Town Hall Building. Each firm described projects they had completed or were working on and outlined the process they generally followed. Depending on Council's preference, this process may include the formation of a citizens' group for input and comment on the project and/or workshops to share ideas and to create a sense of ownership for the project. Each firm noted that the quicker the decisions were made as to what was wanted for the design of a new Town Hall, the faster the project would be completed. Each firm also stated that they had been involved in fundraising efforts and this could include events, mailings, bricks, commemorative tiles, naming of rooms/wings, etc. When advised by the Mayor that she wanted groundbreaking for this building within a year, they each noted that this would be possible if the decision making process for the design went forward quickly. June 22, 2001 Special City Council Meeting 1 J r Casey stated that they did not,plan to establish a committee but rather the architects would be meeting with Council for direction. She also noted that the architects would be meeting with staff to determine needs and to arrive at the best utilization of efficient space. Finn suggested that it might be possible to use one of the other sites owned by the Town for the new building. In response to this comment, the City Manager noted that there might be certain deed restrictions on some of the Town-owned lands and staff would report on this to Council. i PASSED BY CONSENSUS: Council directed the City Manager to do reference checks and to obtain more specific details of projects done by BSA Architects and CJW Architecture. 3.
